Director Vice President of Operations (Office Manager) - Remote | WFH Job Overview Join our dynamic boutique marketing agency as the Vice President/Director of Operations & Executive Assistant. We are seeking a proactive and detail-oriented leader passionate about operational excellence. In this pivotal role, you will manage daily operations, human resources, financial processes, and the overall company culture, serving as a trusted advisor to executive leadership. Key Responsibilities Serve as the primary liaison with coworking space providers and oversee lease agreements. Manage budgets, monitor cost control, and oversee software management. Lead sustainability initiatives, including annual EcoVadis assessments. Direct cybersecurity training, manage IT equipment, and conduct software audits. Supervise the Operations Coordinator in office administration and recruitment support. Negotiate vendor contracts and manage annual insurance renewals. Organize and facilitate weekly team meetings. Oversee HR functions including employee onboarding, payroll, performance reviews, and benefits administration. Conduct training sessions on compliance and best practices. Maintain and update HR policies and employee handbooks. Handle employee relations issues with confidentiality and professionalism. Support recruitment efforts and assist with H-1B sponsorships as necessary. Manage financial records using QuickBooks, including accounts payable/receivable and client invoicing. Collaborate with the CPA for tax compliance, audits, and year-end reporting. Ensure accurate management of Statements of Work (SOWs). Plan and execute employee engagement initiatives, team-building events, and recognition programs. Analyze quarterly engagement survey results for continuous improvement. Provide executive support including correspondence, presentation decks, and note-taking during meetings. Assist with light scheduling and travel arrangements for leadership. Required Skills Bachelor's degree in business administration, human resources, or a related field. A minimum of 7 years of experience in operations, HR, or administrative leadership roles. Proficiency in QuickBooks, HRIS platforms (TriNet preferred), and Microsoft Office. Strong organizational, analytical, and interpersonal communication skills. Proven experience managing sustainability initiatives (EcoVadis experience is advantageous). Detail-oriented and entrepreneurial mindset with the capability to prioritize tasks effectively. SHRM-CP certification is preferred but not mandatory. Experience in operations, HR, or office management at a startup or services agency is a plus.
