As a "caretaker" of the brand's legacy; the Inventory Specialist will support the company's inventory processes by maintaining inventory records, track the status of requisitions and invoices, maintain files and organize inventory records in our databases. The Inventory Specialist supports the procurement and production planning functions by working directly with vendors on purchase order creation and status, generating production orders, and receiving and reporting production. Periodically, the Specialist will also provide the reports necessary for other departments to make high-quality business decisions. The Specialist will use excellent time-management skills to coordinate multiple assignments simultaneously that are under tight deadlines. WORK ACTIVITIES AND ESSENTIAL DUTIES Essential Duties and Responsibilities: Inventory & Production Control Maintain accurate inventory records, perform regular cycle counts, and reconcile discrepancies. Monitor RAW/WIP status reports for negative on-hand or availability issues, investigating and resolving errors. Organize and locate inventory in databases, isolating errors and ensuring data integrity. Coordinate physical and cycle counts, investigate variances, and manage obsolete inventory disposal. End to end management of shop orders for assigned product families. Receive and report production, issue materials for outside processes, and reconcile non-PO inventory receipts. Validate invoices against received purchase orders, resolve discrepancies, and handle freight paperwork. Material Sourcing & Procurement Management of select item master data, including the creation and maintenance of bills of materials and routings. Forecast production schedules to develop material purchasing plans. Determine inventory sufficiency to meet production demands. Create and manage purchase orders for raw materials, services, and non-inventory (MRO) supplies. Monitor transportation, delivery schedules, and invoice creation. Maintain and review purchasing files, reports, and price lists. Work closely with select vendors for regular status updates and timely delivery resolution. Cross-Department Coordination & Vendor Relations Communicate inventory shortages and lead-time concerns to production and purchasing teams. Prepare packing slips and coordinate material shipments to vendors, including inventory transfers. Gather and box fabric labels for customers as requested. Investigate and resolve vendor issues with deliveries. Assist accounting with invoice validations and ensure alignment with procurement records. Support production by entering shop orders and generating purchase orders for planned runs. Other duties as assigned QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Basic Qualifications A two-year college or technical degree (e.g., Associates) or an equivalent combination of education and experience. Three years related experience in materials planning and purchasing for manufacturing - with a preference for printing. Proven ability in managing projects and negotiating best prices for a complex network of suppliers and outsourcing vendors. Demonstrated experience in MS Office Excel and Word, Crystal Reports and mining databases (e.g., Order Management System (OMS), inventory, or purchasing). A current driver's license, reliable transportation and the ability to travel 10% of the time. Preferred Qualifications Language Skills: Ability to read and interpret documents such as purchase orders, inventory records, and software technical help guides. Ability to write routine reports and correspondence. Mathematical Skills: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. Reasoning Ability: Ability to solve practical problems, dealing with a variety of concrete variables in situations where limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. This position has an estimated hourly rate of $22.00 - $35.00. The employee is occasionally exposed to moving mechanical parts. The noise level in the work environment is usually moderate.
