ABOUT RESIDENT SERVICES The Resident Services team is responsible for bringing essential support services to our residents. Our three areas - Family Services, Senior Services, and Health and Supportive Housing - build relationships with our residents by engaging, connecting, and providing services to help them maintain stable housing and achieve self-sufficiency. Our programming emphasizes long-term financial and physical health and mobility and spans financial workshops, ESL classes, senior wellness activities like Bingocize (BINGO and exercise!), after-school programs, and a six-week summer program for young residents. The Services team is also instrumental in ensuring food security through onsite food distributions in partnership with local organizations. Rooted in our ICARE values (Integrity, Collaboration, Accountability, Respect, and Excellence), and our Guiding Principles of Diversity, Equity, Inclusion, and Belonging, Resident Services also works closely with our residents and community partners, and their fellow MidPenners "” including close collaboration with our Property Management team. PAY RANGE $72,000 - $82,000 Annual Salary - Pay based on applicable experience and qualifications POSITION OVERVIEW The Operations Manager has a key role on the Resident Services team focused on optimizing the systems, processes, and resources that empower employees to excel in their roles and drive the success of the business unit. This role bridges employee needs with organizational goals, ensuring a seamless operational framework that supports growth, productivity, and a positive workplace environment. The Operations Manager also serves as a liaison with other business partners. Candidates should anticipate working with internal and external stakeholders to ensure alignment on shared initiatives and cross-departmental projects. The Operations Manager will report to the Resident Services Chief of Staff. This role is not expected to have any direct reports, though leadership of cross-functional teams and leadership through influence are important characteristics for success. ESSENTIAL DUTIES Operational Administration and Reporting Develop and document departmental standard operating procedures, policies and workflows that align and promote MidPen's ICARE values and DEIB principles, while ensuring operational efficiencies directly enhance the quality of service provided to residents to foster a supportive living environment Regularly report on operational efficiencies, employee engagement, and resident satisfaction to leadership Collaborate with Services team to streamline operational processes across Resident Services programs Serve as a partner to other business units for operational requests as needed (e.g. Legal for volunteer coordination, IT for staff-related hardware/software needs and standardization, resident-facing needs and hardware/software troubleshooting) Serve as a liaison between Resident Services and Property Management to facilitate smooth cross-functional collaboration, training and projects (e.g. Great Places to Work survey) Establish proactive mechanisms for identifying operational bottlenecks and collaborate with stakeholders to implement solutions Manage supply and vendor relations by ordering materials, supplies, and promotional items (swag) for teams and coordinating timely, cost-effective deliveries Obtain bids and coordinate logistics for medium to large events, including vendor selection, catering, venue booking, and transportation Serve as a proxy for Executive Assistant when necessary, providing administrative communication, documentation, and scheduling support Technology Integration and Oversight Conduct research and make recommendations for software, process solutions to improve efficiency and ways of working; monitor the effectiveness of above-mentioned software tools post-implementation and provide user training for staff Ensure all technology tools are user-friendly, accessible, and aligned with the diverse needs of staff across Resident Services programs Maintain operational dashboards or reports to track KPIs related to efficiency, satisfaction and departmental performance Employee Engagement and Retention Develop department-wide staff onboarding process; Coordinate staff onboarding and offboarding processes, ensuring timely setup and deactivation of resources, such as access to software, equipment, and systems; Embed DEIB principles into hiring, onboarding, and employee resources Maintain accurate records of staff transitions and address logistical needs for smooth arrivals and departures Collaborate with Property Management to develop a holistic cross-departmental onboarding strategy for new staff and support hiring managers with implementation Collaborate with leadership to design and implement initiatives that enhance employee retention and engagement across the department Oversee the distributions and management of the property-wide Resident Satisfaction Survey (distributed every 2-3 years) ensuring clear communication, accessibility, timely collection of responses and stakeholder management with external and partners Serve as a business unit representative in company-wide events and initiatives Performs other duties as assigned QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential function satisfactorily. Education and Experience Bachelor's Degree preferably in Business Administration, Operations Management, Human Resources, or a related field 5+ years in operations management, program administration, or a similar role, preferably in a mission-driven or resident services environment Proven experience managing cross-departmental collaboration and implementing process improvements Experience with operational tools and software, such as CRM platforms and project management Experience creating and implementing standard operating procedures and workflows Experience managing feedback mechanisms like satisfaction surveys and using results to inform decisions Knowledge, Skills, and Abilities Demonstrated ability to lead cross-functional teams, mentor staff, and foster collaboration Proven ability to identify operational bottlenecks and implement creative, effective solutions Excellent written and verbal communication skills, with the ability to explain technical concepts to non-technical audiences Comfort working in a dynamic environment with shifting priorities and diverse stakeholders Skilled in planning, executing, and monitoring operational initiatives, ensuring timely completion Preferred knowledge of Salesforce, Smartsheet, Cognito Forms, DocuSign, Microsoft Office Suite, Zoom and Canva A track record of embedding Diversity, Equity, Inclusion, and Belonging principles into operational practices preferred Passion for working in a mission-driven organization with a focus on resident services and employee empowerment Strong ability to analyze operational data, create reports, and present findings to stakeholders Must possess a valid California Driver's License, proof of current auto insurance, and reliable transportation Commitment to the Mission and Values of MidPen Services and MidPen Housing Physical Requirements Constantly perform desk-based computer tasks Frequently sitting Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 15 pounds Rarely twist/bend/stoop/squat, kneel/crawl This description reflects management's assignment of essential functions, it does not proscribe or restrict the tasks that may be assigned.
