Staff Assistant to the Vice President of Information Technology & Chief Information Officer Please note the following information is required to complete your application for this position:* A minimum of three (3) professional reference entries in space provided on the application form.* Resume/CV* Cover Letter Position Summary The Staff Assistant plays a pivotal role in supporting the Vice President of Information Technology & Chief Information Officer and ensuring the efficient and professional operation of the Office of Information Technology. This role oversees administrative functions, supports divisional initiatives, and serves as a liaison to both internal and external stakeholders. Additionally, the Staff Assistant provides committee support, project management assistance, financial oversight, and communication efforts while upholding the highest standards of confidentiality and professionalism. Supervision Received: Reports directly to the Vice President of Information Technology & Chief Information Officer. Supervision Exercised: Supervises IT administrative assistants and student employees assigned to the area. Remote Work: This position is located on campus in Bridgewater, MA. This position is eligible for hybrid / remote work in accordance with BSU remote work policy. Oversee the day-to-day operations of the Office of the Vice President of Information Technology & Chief Information Officer, ensuring efficient workflow and confidentiality. Manage and maintain the Vice President's schedule, including coordinating meetings, preparing necessary materials, taking meeting minutes, and following up on action items. Supervise IT Administrative Assistants and student employees, providing mentorship and support. Collaborate with IT leadership on strategic initiatives, offering project management, and implementation support. Partner with the IT Business Operations Manager to assist with budget preparation, contract negotiations, and purchase orders. Serve as a key point of contact for internal and external inquiries, drafting responses, and managing communications on behalf of the Vice President. Prepare reports, presentations, and documents for leadership meetings, including but not limited to those for the Board of Trustees. Coordinate end-to-end event planning and support for the IT division and external partners, including room reservations, catering, and other logistical needs. Assist with the design, creation, and delivery of IT divisional marketing and promotional material through publications, digital media, and social media. Continuously update and maintain divisional content on the intranet, BSU policies, knowledgebase articles, and other critical documentation to advance our vision of service excellence, promote knowledge sharing, and support divisional goals. Support diversity, equity, and inclusion initiatives, fostering an inclusive workplace culture. Represent and support the Vice President on university committees as assigned such as the Enterprise Risk Management Committee. Perform other duties as assigned to support divisional goals and operations. Required Qualifications Education credentials or commensurate experience to fulfill position responsibilities. Proven experience in administrative support, office management, and project coordination. Strong organizational skills, with proven ability to prioritize and manage multiple projects effectively and meet deadlines. Self-starter with the ability to work independently, take initiative, and collaborate effectively in team settings. High level of proficiency in Microsoft Office Suite, including advanced skills in Word, Excel (e.g., pivot tables, data analysis), and PowerPoint. Proficiency with Office 365 suite, including SharePoint, OneDrive, and Microsoft Teams. Excellent verbal and written communication skills, with a strong ability to draft correspondence and create presentations. Demonstrated ability to handle confidential information with discretion. Flexibility to adapt to a fast-paced and changing environment. Commitment to diversity, equity, and social justice initiatives. Preferred Qualifications Experience with Ellucian Banner, specifically the Finance module. Professional experience working in a higher education environment. Experience working in a professional technology environment. Professional project management experience. Familiarity with additional Ellucian Banner modules.
