Fowler Elementary School DistrictJob Title: ATTENDANCE CLERKClassification: Support Personnel Pay ScaleRange: IIDescription: The School Attendance Clerk will provide accurate student attendance records and provide general clerical services to assist in the school office.***The attendance clerk will become the acting secretary in the event the school secretary is absent.Qualifications: High School Diploma or equivalent is requiredValid Fingerprint Clearance CardPrior work experience is preferredThree (3) years of office experience (preferably in an educational setting)Knowledge of technology including computers (Word, Excel, Access, Aesop, SchoolMaster), copiers, fax machines, printers and other applicable office equipmentAbility to type 40 words per minute with accuracyAbility to operate a 10-key calculator with accuracyAbility to operate the telephone system by giving information, answering questions, taking messages and transferring all incoming and interoffice calls to appropriate person(s)Knowledge of the English language including reading, writing and oral communicationKnowledge of Spanish including reading, writing and oral communicationKnowledge of mathematics and basic accounting/bookkeeping proceduresStrong communication and interpersonal skills when dealing with othersStrong organizational skills with the ability to work independentlyPrioritize work, adhere to time restraints and attend to multiple tasks concurrentlyAbility to comprehend and perform functions from written and oral instructionsAbility to use discretion in handling confidential informationMust be an energetic, highly ethical and possess good emotional and physical healthAlternatives to the above qualifications as the Governing Board or the Superintendent may deem appropriateEssential Duties and Responsibilities:Call and receive calls from parents regarding student attendanceNotify teachers and nurse of excused absencesEnter student absences into database and generate absence reportsReview and verify student absence notes.Determine if absence is excused and issue an admit slip for class.Communicate with principal and teacher regarding any student's excessive absences and tardies and refer him/her to school resource officer and/or counselorContact school resource officer regarding attendance problemsRecord student absences and tardiesProvide students with passes to class or referrals to principal regarding tardiness.Establish electronic student record including inputting registration, attendance records, withdrawals, and transfersUpdate student, class and school rostersPrepare daily, weekly and monthly attendance reports for the state, the district and the principalCompile and report student membership and absences for state fundingForward student records and files to pupil personnel at the District officeAssist in greeting visitors to the school campus and answering inquiries or directing visitors to appropriate personnel Receive and greet parents and the public coming into the school officeAnswer telephones, screen calls, refer calls to appropriate personnel and take phone messagesAssist with maintaining a positive environment that develops social, emotional, and cognitive skills; as well as promotes and supports cooperation and learningProvide backup services for school secretary and nurseAssist with the overall administration of the school officeAssist with the daily maintenance of the school officePerform typing, filing, and word processing related to the business of the schoolOpen, date and distribute mailConfer with parents and students regarding attendance problems.Interpret statutes to determine the data required for student attendance reportingAnalyze and verify student membership and attendance data to assure accuracy and compliance with Arizona Department of Education regulations and district policyPrepare and submit 40th and 100th day Average Daily Membership (ADM) reports to the state for fundingParticipate in district sponsored professional development workshops/inservices, attend on-going training classes as directed, and read professional publications for continued professional developmentMaintain strict confidentiality and use appropriate discretion when working with all district personnel and student and family records and/or informationSupport and follow the rules, regulations and policies set by the School Board, the assigned school and the DistrictPerform all other duties as assigned by the Governing School Board, the Principal or his/her designeeLength of Employment: Ten and one-half (10½) monthsSchool calendar will determine the days worked during the school year.Reports to: Building PrincipalEvaluation: Performance to be evaluated in accordance with Board Policy GDO
