Position Overview The Illinois Department of Corrections is seeking a motivated, organized, and professional Office Coordinator for the Record Office at Centralia Correctional Center. This candidate will demonstrate a strong understanding of office practices and procedures including taking phone calls, processing mail, communicating with employees, and working with confidential information. Essential Functions * Functions as an administrative secretary. * Serves as support staff to the Office Administrator III. * Monitors the O360 System to ensure accurate data entry for appropriate time awards, time revocations, projected release dates and mandatory release dates. * Organizes and maintains all files relating to educational good conduct credits and supplemental sentencing credits. * Composes and keyboards routine memos regarding updated/revised procedures and processes for the Record Office. * Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above. Minimum Qualifications * Requires knowledge, skill, and mental development equivalent to two (2) years of secretarial/business college, or completion of high school and two (2) years of related office experience, or two (2) years of independent business experience. * Requires the ability to keyboard accurately at 30 words per minute. Preferred Qualifications * Prefers at least one (1) year of experience using a data entry program such as Offender360 (O360) or similar program to gather data and prepare reports. * Prefers at least two (2) years of experience working with confidential information and material and interpreting legal terminology. * Prefers at least two (2) years of experience meeting deadlines. * Prefers at least two (2) years of experience maintaining a paper filing system and using alpha-numeric sequencing. * Prefers at least two (2) years of experience with office practices and procedures. * Prefers at least two (2) years of experience using Microsoft Office Suite, such as Word and Outlook or similar like computer programs for word processing and email. * Prefers at least two (2) years of experience in operating and troubleshooting common office equipment such as multi line phone systems, copiers, fax machines, and scanners. * Prefers at least two (2) years of experience in talking to the public about rules/guidelines followed by an employer in order to get to an appropriate end result. * Prefers at least two (2) years of experience in reading, interpreting, and applying rules and/or guidelines of an organization. * Prefers at least two (2) years of experience performing long form mathematics in the workplace.
