Department: Community and ConveningsReports to: Managing Director of ConveningsStatus: Full Time, ExemptLocation: Palo Alto | U.S. Remote considerationSalary: $94,554 - $136,063 - Salary is based on Palo Alto, CA - geo-location differential will apply THE OPPORTUNITY The Skoll Foundation is looking for an Event Production Manager to join the Convenings team. This function requires significant project and operational management of events, including production skills such as knowledge of event technologies and event budget management. This position plays a key role in managing operations and logistics for the Skoll Foundation convenings, including our annual signature event, the Skoll World Forum (SWF) which takes place in Oxford, England. The Event Production Manager will collaborate closely with the Director of Event Production and report directly to the Managing Director of Convenings. This role includes managing operations, advancing communications, executing data analysis, and building events in alignment with the Foundation's convenings strategy and overall mission as a platform for social innovation. They will be a key team member within the Connect and Champion department and will interface internally with Skoll Foundation teams, and externally with our production agency and other vendors. RESPONSIBILITIES Operations & Production Work closely with the Director of Event Production on overall operations, logistics and production of all events, maintaining Skoll Foundation's values and standards. Examples of projects include: Assist with delegate SWF engagement activities. Organize pre-SWF online orientations for delegates. Manage SWF delegate guide. Assist with seating plans at the SWF. Coordinate staff travel and accommodation with agencies for SWF. Collaborate with colleagues on the Convenings team to help manage production-related elements for the SWF and other US-and-global Skoll-hosted convenings. Provide data research/analysis for event-related projects. Lead key event production and logistics elements across internal and external teams. Partner with the registration team for the SWF and other convenings. Support the registration process for events. Collaborate closely with the Director of Event Production to develop, implement, and refine event budgets for the Skoll World Forum (SWF) and other convenings. Cultivate and oversee relationships with external vendors, ensuring effective budget-to-actuals management with a commitment to sound fiscal stewardship. Technology Work closely with the Managing Director of Convenings to optimize the use of efficient and smart event technology, including mobile apps, and other supporting platforms such as Salesforce for enhancing event logistics and attendee connections. Internal & External Communication Interface with external production partners and other vendors to facilitate the successful delivery of key milestones deliverables. Manage event communications with staff and external audiences, including developing event reports and briefings. Respond to SWF inquiries and other event inquiries. QUALIFICATIONS: Minimum 5 years of operation and production management experience in content-driven in-person and virtual events. Demonstrated experience with event budget management. Exceptional attention to detail. Superior client-facing skills and ability to interact with external audiences with clarity, grace and professionalism. Demonstrated ability to manage and prioritize multiple projects with deadlines. Strong judgment and decision-making skills. Excellent written and verbal communication skills. High level of proficiency with Salesforce, Excel, PowerPoint, Outlook and Word. Experience with collaborative project management tools (i.e., Asana, Microsoft Teams). Positive, can-do attitude; embraces innovation, learning and joy. A deep passion for social change, entrepreneurship and the Foundation's mission. Ability to travel domestically and internationally.
