The Assistant Athletic Director is primarily responsible for managing the foundational logistics of Flint Hill School’s athletic department including but not limited to athletic scheduling, activity credit tracking, seasonal sport registrations, coach mentorship and evaluation, and innovative planning. The Assistant Director works in coordination with the Director of Athletics and other members of the athletic department support to coaches and students in creating an efficient, productive, and inclusive Flint Hill athletic experience. The Assistant Athletic Director reports to the Director of Athletics but works closely with the Director of the Middle School. This position has no direct reports.This is a full-time, exempt benefits-eligible, 12-month staff position. This position requires working on campus in the athletic department office as well as working in/around the school’s various athletic fields. This position also works some evenings and Saturdays. Preference will be given to candidates with high-level coaching experience.Major Duties and Responsibilities: Administrative Duties Serve as the point person for athletic scheduling for all programs in grades 7-12.Collaborate with the Director of Athletic Operations to effectively utilize all athletic facilities while minimizing conflicts throughout the season. Work with the Director of Athletics and other members of the department to prepare and publish the annual athletic calendar including events such as coaches’ meetings, award ceremonies, signing days, special programs, senior nights, picture days, and Varsity roundtables. Coordinate and communicate dates for seasonal operations such as sports registration dates, tryout information and location, sports medicine needs, etc…Manage requisitions for all game and tournament entry fees in coordination with the Director of Sports Information and the Director of Athletics.Work with the Director of Athletics to attract, hire, retain, and mentor Middle School and Upper School coaches.Student Records and LogisticsWork with the Director of Athletics to finalize rosters each season. Create and distribute seasonal team registrations and anticipated rosters prior to each season. Middle School LiaisonPresent pertinent information to middle school students and the community. Respond to inquiries from parents, faculty, or staff and liaise with middle school administration, coaches, and faculty. Conduct athletic assemblies seasonally to ensure students meet their coaches and know the logistics for the first few days of practices.Work with other department members to ensure all middle school programs are set and prepared for the first day.TransportationTrack all transportation needs for practices and events seasonally. Work with the Internal Transportation Coordinator to review all seasonal transportation needs.Work with the Internal Transportation Coordinator to ensure all transportation assignments are communicated and facilitated weekly. Other dutiesWork with the Director of Athletics to evaluate and mentor all Head Coaches during and following the season. Provide administrative supervision for games, as scheduled seasonally.Assist in meeting the daily operational needs of the Athletic Department.Coach multiple sports.Other duties as needed by the Director of Athletics or the school.Competencies and Skills:Effective organizational, time, and stress management skills.Autonomy and independence with a collaborative spirit.Strong attention to detail.Extensive knowledge and passion for athletic scheduling and operations.Collaborative and personable with an ability to establish and maintain positive relationships with a variety of constituencies. Preferred Qualifications: An undergraduate degree is preferred and a minimum of 3 years of experience working in an athletic office of a school or team; experience as a Varsity Head or Assistant Coach; and experience working in an independent middle or high school. Experience using leading technologies such as Google Suite and Apple applications and products.
