Summary THE RECRUITMENT TIMELINE FOR THIS POSITION IS TWO WEEKS -- APPLICATIONS WILL BE REVIEWED AND SCREENED IMMEDIATELY. Summary The King County Council Administration is looking for an experienced and motivated veteran or active-duty service member of the National Guard or any reserve component of the U.S. military, with a passion for service to provide excellent administrative, project management, and customer service skills to the Council's Operations team and the citizens of King County. We are looking for a multi-tasker with excellent communication skills and an upbeat attitude. As a part of the Operations Team, you will learn and be involved in the operations, practices and procedures of the Council and gain experience working with elected officials and senior managers. You will get to assist management and all visitors to the courthouse by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, ordering supplies and managing inventory, and generally being helpful and positive in the workplace. Ideal candidates should be professional, polite and attentive while also able to complete work with accuracy and willing to meet each challenge directly. Job Duties to Promote Learning General Administrative * Perform administrative duties including but not limited to scheduling appointments, respond to office-related inquiries, compose and prepare documents and other correspondence. * Provide customer service. Staff the Council's front desk, greet and direct visitors, validate parking, answer phone calls, and respond to email and voicemail messages on behalf of the King County Council. * Organize distribution of office supplies. Route and distribute all mail for the legislative branch; receive and unload delivery items and acknowledge receipt of goods and services. * Coordinate various Council facility-related requests. Order, purchase and track office supplies and equipment. Conduct regular physical inventory of office supplies. * Compose, draft, format, and edit documents and correspondence. Prepare and proofread documents and electronic files. * Assist the Council with records management and responses to Public Records Act requests. Provide administrative support to the Council Operations Team. * Assist with maintaining accurate electronic and paper records according to State and County records retention schedules. * Perform other duties as assigned. Special projects may be added based on the individual's interests. Project Management * Implement project(s) of varying complexity and size in assigned functional area. * Assist HR in maintaining branch-wide training plan; research internal and external resources to create training content for learning plans in NeoGov * Identify, track, and work with others to resolve project issues * Maintain project notes, databases, and communicates project status Creative Design Assistance * Help create/design webpages and content for SharePoint; gather images, logos, etc. * Create customizable templates * Maintain updated records of the videos, images and guides * Research and recommend new ideas for strengthening our site and/or brand Learning Objectives * Create courses and learning plans in NeoGov. * Manage calendars and coordinate with other administrative staff to schedule meetings. * Develop business writing, editing, communication and collaboration skills in a government setting. * Utilize basic file structure within the County's records management system. * Learn King County Council's policies, practices, and procedures. * Attain experience working with and for elected officials and senior managers. Experience, Qualifications, Knowledge, Skills Minimum Qualifications * Experience providing administrative and project management support. * Proficient skills in Microsoft 365: Outlook, Teams, Word, Excel, and PowerPoint. * Experience with web design and training development using various platforms: SharePoint, PowerAutomate, Captivate, Articulate 360. * Experience preparing, formatting, proofreading, and editing documents including confidential correspondence and files. * Ability to provide excellent customer service, both orally and in writing, including the ability to work well independently and as part of a team. * Demonstrated ability to evaluate and manage competing demands and ensure team needs are met; prioritize tasks while meeting critical deadlines and maintaining accuracy of work. * Capable of working independently in a busy work environment, take initiative to problem solve, exercise good judgment, and accept personal responsibility for work. ABOUT THE POSITION This position is open to all qualified applicants. Acceptable proof of identity and authorization to work in the United States are required by federal immigration law. Projected start date: February/March 2025 This is a one-year term-limited position with applicable benefits. This position is an hourly, at-will, overtime eligible classification that is not eligible for the county Career Service system. The standard workweek is 40 hours. Work location is the King County Courthouse, downtown Seattle. Non-traditional work hours and travel throughout King County may occasionally be required. TELEWORKING The work associated with this position will be performed predominantly in a hybrid work environment, working in the King County Courthouse two days a week, typically on Tuesday and Wednesday and remotely the rest of the week. Onsite workdays may vary based on the business needs of the Council. Employees must reside in Washington State and within a reasonable distance of their King County worksite to respond to workplace reporting requirements. COMPENSATION: (Is based on highest military rank held OR education level.) * Veteran Fellow I - $20.10 - $25.48 -; Enlisted grade E1 - E3; or High School graduate or pursuing BA * Veteran Fellow II - $22.63 - $28.69 - Enlisted grade E4 - E6 or possess BA; or pursuing master's degree * Veteran Fellow III - $28.69 - $36.37 - Enlisted grade E7 - E9 or completed master's or held Officer's rank ADDITIONAL INFORMATION: * All Veteran Fellow participants will work jointly with their supervisor to develop an Individual Development Plan to delineate, regularly discuss, and jointly shape the participant's fellowship experience for mutual benefit. * The Vets 4 HIRE Program Manager facilitates a monthly group meeting with Veteran Fellows as a way to connect with one another, share tips on different topics, and build camaraderie. Guest speakers will be brought in periodically. * Veteran Fellows are encouraged to participate in King County's Veterans and Military Affinity Group to network with other employees at King County who have served or are currently serving in the National Guard or Reserve. * Veteran Fellows are encouraged to participate in King County's Mentorship Program. * The Vets 4 HIRE Program Manager will meet individually with participants to learn more about their career goals and provide one-one coaching on how to effectively apply and interview for other positions at King County.
