This technical position oversees and tracks parts inventory and processes incoming invoices. The position organizes the storeroom and warehouse(s) and monitors fuel deliveries and disbursements in compliance with County regulations and policies. The position assists in parts audits, ensuring accurate inventory counts and also supports optimizing inventory control processes. Direction may be given to Utility staff; Supervision is received from the from the Assistant Department Head. NOTE: During emergency situations, inclement weather or during the summer months, hours of operation may be changed to accommodate the work performed by other County departments. Employees must be available to accommodate these alternative working hours. NOTE: The upper pay range reflects possible wage rates for internal County transfers and promotions. For transfers and promotions, wage rates are calculated per County policy. This is part of a full range of benefits including Dental, Vision, and Flexible Spending * 100% County paid 2x annual salary Group Term Life Insurance and Accidental Death & Dismemberment (AD&D) benefit * County and Employee funded Defined Benefit Pension Plan * Vesting after 5 years of service * Additional service credit for eligible previous public service, military service, etc. * Work/Life balance programs include: Employee Assistance Program and Employee Wellness Program * Generous Tuition Reimbursement Program * Other employee-paid benefits such as Deferred Compensation Plan, Legal Resources, Supplemental Life Insurance, Critical Illness, Accident, and Hospital Indemnity Insurance, Lifetime Benefit with Long Term Care plan. * Coming soon-early 2025: Employee Health Center with no or low cost primary and urgent care For more information, visit our benefits page on the Frederick County Government job opportunities webpage. * Maintain electronic records of assets and inventory in compliance with County and Departmental policies * Conduct regular physical inventory counts, including reconciliation of discrepancies * Order parts and supplies to maintain optimal stock inventory; utilizing a software, monitor stock levels to ensure adequate supply and timely replenishment of inventory * Follow established procedures for receiving, tracking, and storing supplies and materials * Coordinate distribution of parts and supplies to the various repair shops and the main parts room * Monitor contracts to ensure compliance with pricing schedules and performance standards * Prepare regular inventory reports and summaries for leadership; maintain and updates records for audit requirements and retention policy * Assist with internal and external audits by providing required documentation and reports * Maintain, track and report on the status of transfer of parts, supplies, and disposal * Ensure all inventory control processes adhere to all applicable County and Department regulations, as needed calculate cost of inventory and supplies * Identify inefficiencies in the inventory management process and recommend enhancements to improve workflow * Review technological solutions such as inventory management software and recommend to leadership, as needed * Work closely with Service Managers, vehicle equipment staff, and other departments to ensure parts orders are accurate and timely * Liaison with external vendors to manage and build inventory-related services and supply relationships * Assist with fuel-related tasks as necessary, such as receiving deliveries, processing orders, and coordinating repairs to fuel sites * Receive, load and stack inventory in warehouse; as needed, shelving inventory may require use of forklift * Operate County vehicle to pick up and/or return parts and attend meetings or training as needed * Perform various clerical support duties to include copying and filing * Perform other related duties as required To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The qualifications/requirements, knowledge/skills/abilities and physical requirements or working conditions described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. * High school graduation or the equivalent * Minimum 3 years of inventory, parts room or warehouse control work experience * Minimum 1 year of clerical work experience which includes data entry experience * Intermediate skills in the use of MS Office Suite * Current Possession of A, B, and C UST fuel certifications issued by the Maryland Department of Environmental Management's UST Program or ability to obtain within 6 months of hire * Current Possession of forklift operator certification or ability to obtain within 90 days of hire * Possession of a valid automobile operator's license KNOWLEDGE / SKILLS / ABILITIES: * Ability to maintain County Authorized Driver privileges * Knowledge of various vehicles equipment, parts and tools * Strong clerical and record-keeping skills, including the ability to accurately perform basic math and financial functions * Ability to accurately compile and prepare statistical data and reports * Ability to effectively access and utilize Microsoft Office Suite, e-mail, spreadsheet and other systems and equipment, and to learn new software as it is required * Ability to organize work, determine priorities, work independently and complete assignments with minimal supervision * Ability to operator forklift * Ability to work independently and collaborate with cross-functional teams * Ability to establish and maintain effective working relationships with co-workers and the public * Effective spoken and written (English) communication skills with the ability to write and maintain clear, concise records, accurate math skills PREFERENCE MAY BE GIVEN FOR: * Inventory control work experience in automotive, truck or equipment parts * Experience or training in a fleet management system (i.e. Faster Asset) * Work experience in billing or accounting * Automotive Service Excellence (ASE) Parts Specialist Certification, P1 - ASSE Medium-Heavy Truck Parts Specialist or ASE P2 - Automobile Parts Specialist PHYSICAL REQUIREMENTS / WORKING CONDITIONS: * While working in this position, the employee is required to constantly lift up to 20 lbs; frequently sit, walk, lift between 20-50 lbs, reach and drive; occasionally climb, stoop, lift over 50 lbs, push up to 40 lbs, pull up to 40 lbs and perform repetitive motions * While working in this position, the employee is required to constantly work indoors; frequently work in dusty/dirt environment, near machinery and chemicals or fumes; occasionally work outdoors, in hot and cold temperatures, at heights, in noisy environment, and with protective equipment EXAMINATION PROCESS (may include): * An evaluation of training and experience * One or more interviews * A DOT pre-employment physical examination and drug testing (for applicants hired with a CDL license)
