Provides quality customer service to prospective and continuing students. Verifies, authenticates, organizes, maintains and processes student records. Qualifications Education: Associate's degree or equivalent experience as determined by the Associate Vice President of Human Resources Experience: One year of customer service work experience in an office setting Knowledge: A general understanding of college records and registration policies and procedures Skills: Ability to work independently, strong verbal and written communication skills, ability to work efficiently and accurately with attention to details Responsibilities 1. Reviews admission applications for completeness, accuracy and placement in accordance with established guidelines. 2. Creates and updates student records. 3. Reviews admission documents for authenticity. 4. Processes student orientation schedule changes. 5. Collect and processes student grades, instructor attendance records, and final exams. Reports grades not submitted. 6. Monitors the security system database transaction regarding access to grade/record functions. Reports and suspicious activity. 7. Processes petitions for grade changes, incomplete grades, CLEP, military, proficiency credit, substitutions, waivers, transfer credit, portfolio evaluations and repeated courses. 8. Maintains security of records and adheres to guidelines for retention. 9. Verifies accuracy of grades and coordinates grade distribution process. 10. Coordinates chargebacks/joint agreements to and from Triton with other community colleges in relation to yearly enrollment and accounting cycles. 11. Advises students and staff regarding chargeback/joint agreements including: requirements, application, proper course selection verifying, processing, and billing. 12. Oversees and monitors the process for in-district company tuition adjustments. 13. Responsible for verifying student records prior to the printing of a transcript. 14. Processes student transcript requests. 15. Prepares student records for microfilm processing. 16. Prepares, organizes, maintains, and retrieves computer/microfilm records and releases information in accordance with federal guidelines. 17. Generates appropriate correspondence. 18. Provides information and responds to inquiries and requests. 19. Orders office supplies and forms and is responsible for placing maintenance service calls for office equipment. 20. Sorts and processes incoming mail. 21. Trains and supervises hourly staff. 22. Performs other job-related duties as assigned by supervisor.
