Our Creative Services team is seeking a Temporary Creative Services Manager to cover maternity leave. In this role, you will work cross-functionally with internal stakeholders, including Design, Marketing, Product, and Content teams, to ensure seamless collaboration and alignment across departments. We're looking for an individual with hands-on experience leading complex, high-priority projects, managing timelines, and delivering results with diplomacy and precision. Responsibilities * Project Leadership & Management: * * Lead and manage multiple creative projects and timelines simultaneously, guiding them through all phases of the project lifecycle, including tracking dependencies. * Partner with internal teams to proactively identify potential issues and propose effective solutions. * Manage the assignment of projects based on designer/editor expertise, workload, and aesthetic. * Collaboration & Stakeholder Communication: * * Work closely with stakeholders to assess initial requests, define project parameters, prioritize schedules, and ensure deliverables are completed according to established deadlines and marketing strategies. * Communicate project timelines, status updates, and potential obstacles to stakeholders effectively. * Guide project communication with executive leadership, ensuring clarity and alignment. * Drive 360 company strategy by connecting departments through Airtable, ensuring alignment across all teams to ensure strategic alignment & cross-department coordination * Workflow Efficiency & Strategy: * * Assess, recommend, and implement strategies to increase productivity and improve workflow efficiencies within the Creative Services department. * Maintain, track, and update various operational reports, including Utilization Reports, Asset Creation Count Reporting, Production Timelines, and Asset Delivery Count Reporting. * Manage and support the maintenance of digital asset management systems, including troubleshooting automation needs and processes. * Project & Asset Management: * * Oversee the quality assurance (QA) process for assets and ensure their delivery to stakeholders (uploading for ingest, Admin App, Brightcove, Asset Library). * Manage the approval process and archive proofs using Ziflow. * Organize, manage, and track communications across multiple platforms (Outlook, Slack, Airtable, Ziflow, Google Workspace). * Team Coordination & Onboarding: * * Support the onboarding of new Creative Services team members and internal stakeholders, ensuring they are familiar with departmental project management platforms, processes, and workflows. * Schedule, lead, or attend meetings as needed for new initiatives, kick-offs, retrospectives, and problem-solving. * Manage team Standard Operating Procedures (SOPs), ensuring consistency and efficiency across operations. * Talent & Event Management: * * Schedule and coordinate Gaia Original series talent headshots and manage the related communications. * Oversee the management of event assets, ensuring timely delivery in both English and Spanish. * Support GaiaSphere talent management and speaker deliverables, ensuring all content and assets are properly managed and delivered in both English and Spanish * Reporting & Stakeholder Engagement: * * Provide monthly operational updates to stakeholders and executive leadership, offering insights on progress, challenges, and next steps. * Ensure smooth execution of contractors and direct reports management, including overseeing new hires, travel coordination, onboarding, and the hiring process. * Third Party Coordination * Collaborate with external agencies and vendors to manage and deliver creative assets for marketing campaigns, ensuring alignment with project goals, timelines, and brand / platform standards. * Organize and streamline asset requests, feedback, and approval processes, maintaining clear communication to facilitate efficient production and timely delivery of campaign materials. * Coordinate with the marketing team to track project progress, ensure deadlines are met, and manage the central storage of creative assets for easy access and version control. Qualifications * BA/BS required * MA, MBA preferred * Significant experience working in production management/digital marketing/creative agency or in-house creative team. * Proven history of leading complex projects with tight deadlines and multiple dependencies. * Comfortable working cross-functionally with multiple partners at all levels of a corporate organization. * Adaptable and able to change gears quickly. * Lead scope, budget and campaign resources. * Superb verbal and written communication skills to relay information simply and clearly to creative marketing and cross functional departments. * Can see the big picture while also focusing on the details. * Calm, balanced, level-headed, and collaborative in nature. * Bilingual (Spanish, French, German) a plus. * Extensive project management software experience (optional). * Project Management certification(s) (optional).
