Project Manager Our client, a consulting firm, in the King of Prussia area, is seeking a Project Manager (PM) (Executive Assistant) to provide support to a Vice President and their team in the firm to also oversee the executive search timeline and process. The PM is responsible for the flow of information from the candidates to the clients and vice versa. The PM will be responsible for document preparation and management, scheduling candidate and client interviews and meetings, expense reports, file management, and other projects as assigned. The ideal candidate is a strong team player, has excellent writing skills and has a minimum of five years of experience. This position is onsite three days a week. Responsibilities * Manage competing timelines and schedules, coordinating interviews, client meetings, and commitments for the VP of Client Partnerships. * Collaborate with the internal search team to oversee executive search timelines and develop external relationships for successful outcomes. * Prepare and contribute to weekly client update meetings by creating update charts and drafting meeting notes. * Serve as a strategic partner to the VP by anticipating needs and gathering necessary information for optimal preparedness. * Facilitate the offer and negotiation stage by coordinating references, terms, special requests, and communications. * Develop and maintain organizational systems to track the status of each search and business development activities. * Handle travel arrangements for the VP and candidates, accommodating unexpected changes as needed. * Update the candidate tracking system throughout the search process. * Maintain open communication with candidates, alerting the Consultant or VP when intervention is necessary and identifying potential issues. * Stay informed about all aspects of searches, ensuring the team is updated regularly. Qualifications * A minimum of 5 years of experience as an Executive Assistant or relevant similar role. * Exceptional written and verbal communication skills, including active listening. * Strong organizational abilities with multitasking and prioritization skills. * Proficient technical skills including but not limited to: virtual meeting platforms and Microsoft Office. * Demonstrates a proactive approach to adopting new technologies and continuously developing skills to enhance efficiency and support executive and project management functions. * High level of proactivity, motivation, and initiative. * Creative problem-solving skills with a sense of urgency. * A solid work ethic, complemented by a team-oriented approach and a commitment to service excellence.
