Minimum of 3-5 years of experience in project management. Strong leadership and team management skills. Excellent communication and interpersonal skills. Proficiency in project management software and tools (e.g., MS Project, Asana, Trello). Familiarity with finance lab and media center technologies and equipment. Duties Description The Project Manager for Special Projects is responsible for overseeing the planning, execution, and completion of projects related to the development of the Finance Lab and the upgrades to the Media and Innovation Center. This role requires managing multiple tasks and workstreams simultaneously, coordinating with various stakeholders, and ensuring that all projects meet the specified objectives within the established timeline and budget. Reporting to the Chief Financial Officer, the Project Manager will focus on delivering a Finance Lab and an upgraded MIC to support the institution's educational and operational goals. This is temporary, full-time, one (1) year position. Key Responsibilities: 1. Project Planning and Initiation: Define project scope, objectives, and deliverables in collaboration with senior management, faculty, and stakeholders. Develop comprehensive project plans, including timelines, budgets, resource allocation, and risk management strategies. Responsible for tracking all aspects of the construction, renovations and alterations projects including RFI logs, change order logs, daily progress reports, project budgets, project schedules, and warrantee limits. Responsible for interdepartmental coordination of renovation projects including scheduling and notifications. Identify and secure necessary resources, ensuring they are allocated effectively across projects. 2. Project Execution: Lead and manage project teams, fostering effective communication and collaboration among team members. Oversee day-to-day project activities, monitor progress, and adjust plans as necessary to ensure timely completion. Ensure all project deliverables meet the quality standards and objectives outlined in the project plan. 3. Stakeholder Management: Maintain regular communication with stakeholders, including faculty, staff, students, and external partners, providing updates on project status, risks, and issues. Facilitate meetings and presentations to keep stakeholders informed and engaged. Manage stakeholder expectations and ensure alignment with project goals and institutional objectives. 4. Risk Management: Identify potential risks and develop appropriate mitigation strategies. Monitor and manage project risks and issues, implementing contingency plans as necessary. Conduct regular risk assessments and adjust project plans to address emerging challenges. 5. Performance Monitoring and Reporting: Track and report on project performance using appropriate tools and techniques. Prepare and present progress reports, including metrics on project timelines, budgets, and deliverables. Conduct project evaluations and lessons learned sessions to improve future project performance. Communicates with project stakeholders regarding program, budget, schedule and construction impact. 6. Compliance and Quality Assurance: Ensure projects comply with institutional policies, industry standards, SUNY and NY State regulatory requirements. Implement quality assurance processes to ensure deliverables meet specified requirements. Conduct project audits and reviews to ensure adherence to best practices and continuous improvement. 7. Reimbursement Processing: Organize and manage reimbursement processes for project expenses, including preparation, submission, and detailed record-keeping. Verify expenses for compliance with grant guidelines and project budgets. Communicate with project teams and vendors to resolve discrepancies and provide regular financial status reports to management. Working Conditions: Standard office environment with occasional travel to project sites, as required. Ability to work flexible hours, including evenings and weekends, to meet project deadlines.
