Primary FunctionServe as a vital and key support member on a creative production and event team that is a liaison between an internal Production Department, internal clients and various external production partners and freelancers. Support management team and Producers by assisting in preparing intake, schedules, resources, and administrative business functions of productions from concept to delivery.Duties & ResponsibilitiesWork closely with department personnel in all aspects of logistical, operational and production coordinationBuild productive working relationships with key internal technical partners, key stockholders, and internal clientsCoordinate staff and client schedules, project timelines, and pre-production meetings, including setting up, scheduling and owning internal meetings and agendasManage flow of Statements of Work, and Production BooksSupport crew communications, send crew call sheets and shoot instructionsManage project schedules, milestones, deliverables, to ensure projects are running on scheduleGenerate weekly production status reports including current and upcoming production projectsAssist with the maintenance and organization of digital media assets and equipment inventoryCreate timely and accurate production planning, tracking, and reportingOffer creative solutions and operational efficiencies where applicableWork in the most proactive, creative, and professional manner to provide the highest level of service to clientsConduct client specific asset administration including taxonomy, data entry for final assetsAssist with studio and location shoots, local travel as needed (Other duties as assignedSkills & QualificationsA positive and proactive attitude and a willingness to jump in and helpWell-organized and capable of handling multiple assignmentsExcellent verbal and written communication skillsOutstanding prioritization and organizational skillsProficiency in Microsoft Office, particularly Excel. Must be able to create and format spreadsheets, apply functions & formulas, merge & sort data; Familiarity with Adobe Creative Suite and similar production toolsProficient with media and production terminologyPerforms well under and stays calm under pressure, while maintaining attention to detail and an appropriate sense of urgencyAbility to interface effectively with a variety of people including team personnel, clients, and vendors to establish productive, ongoing relationshipsStrong results orientation to deliver seamless and timely services to customersMay require after-hours and weekend workEducation & ExperienceDegree in Video/Film Production, Communications, Marketing, or related field is required3+ years office administration, communications, or exec assistant experience preferredExperience as a production assistant on-set in the video, film, or advertising industry is preferredTo ApplyUse the link at the bottom of this page to apply.
