Job Description This position involves intermediate work in the operation of a central warehouse for water and wastewater supplies, supporting Utility Services (US) in ordering, receiving, delivering, and processing payments for essential parts. By ensuring timely access to supplies, this role directly contributes to the City's mission of enhancing residents' quality of life. Utility Services provides safe water and wastewater processing, and this position is vital in maintaining the facilities in safe working order. Key skills required include strong organizational abilities, attention to detail, effective communication, and proficiency in inventory management and procurement. Work is performed under regular supervision. Essential Functions + Monitors and identifies supply needs and prepares purchase requisitions to replenish inventory of parts and specialty items required to maintain critical infrastructure. + Reviews ordering of material(s) form; Contacts divisions to confirm, correct if needed, and determine if more information is required on ordering of material(s) form + Issues parts, supplies, and equipment to operational crews and other personnel + Monitors, maintains, and tracks usage levels of critical US parts to maintain the critical infrastructure + Develops recommendations on necessary warehouse parts levels based on usage patterns and delivery times + Enters requisitions, receivers, and other documents into computerized maintenance management system (CMMS) + Develops requisitions for items issued from central warehouse to US team members + Assists in the preparation of annual budget for usage frequency for critical parts + Identify new products for use in operations and maintenance of utility infrastructure + Develops, accepts receivers (Oracle) and confirms payment to supplier(s) + Received quotes, if needed, per the procurement code + Receives, verifies, unloads, and appropriately stores materials (AC, non A/C, covered/uncovered), equipment, and supplies for operation staff + Receives supplies delivered to City and ensures appropriate location of the materials + Assembles and prepares packages for shipping and mailing; + Operates forklift to load and unload items; Operates warehouse equipment, in a safe and efficient manner, following all training and guidelines. + Maintain a clean and organized workspace to minimize hazards and improve overall safety. + Maintains records, prepares reports (through CMMS), provides support for the operational needs of the department + Performs related tasks as required. Knowledge, Skills and Abilities Knowledge of: + Safety compliance - including safety protocols and regulations + Load management - ensure proper lifting techniques and safe load management to prevent injuries and accidents. + Communication skills needed across different trades and experience levels + Modern warehouse and inventory practices + Standard office practices and procedures; + Basic vocabulary of water and wastewater infrastructure Skilled in: + Use of computers and software applications + Reading comprehension - including understanding written sentences, schematics, and paragraphs in work related documents + Time management - efficiently organizing tasks, prioritizing responsibilities, and allocating time for duties. + Organization - skilled in completing tasks neatly and consistently, demonstrating a keen attention to detail, strict adherence to established protocols and best practices, as well as Ability to: + Perform account and record keeping; + Evaluate problems pertaining to work and make proper decisions to solve same; + Make arithmetical computations; + Establish and maintain effective working relationships with team members + Follow oral and written instructions. Minimum and Preferred Qualifications + High School Diploma or GED or equivalent combination of education and experience + Two (2) years of experience in the issue and inventory of parts and supplies + Valid State of Florida Class "E" driver's license Preferred Qualifications: + Forklift Operator Certified is preferred at time of hire. Special Requirements: This position is called on to utilize a forklift as required to perform the essential functions of the position. Although uncertified candidates will be considered for employment, new hires must utilize employer provided resources to obtain Forklift Operator Certification prior to the end of the probationary period. BENEFITS SUMMARY Full-Time Non-Bargaining Employees ANNUAL LEAVE: Shall accrue prior to an employee attaining permanent status in the classified service, and may be used after six (6) months of employment at the sole discretion of the Department Head, but it shall not be paid out upon resignation or termination unless the employee has attained permanent status (one full year). The maximum accrual is 360 hours. SICK LEAVE: 8 hours per month. Any hours in excess of 960 will be paid off annually at 50%. Upon retirement, employees with a minimum of 5 years continuous service will receive 50% of sick leave balance. The Defined Contribution Retirement Plan will not require a mandatory contribution. The City will contribute seven (7%) percent of the annual base wages annually. The vesting period for this plan shall be one (1) year from date of hire in the classified service, which coincides with your one-year probationary period. + An option to enroll in a Defined Benefit Retirement Plan option is available. There is a ten (10) year vesting period with a multiplier of 2.00% at normal retirement and a mandatory seven and three-quarters (7.75%) percent employee contribution. + The two (2) options will be fully explained prior to an irrevocable selection. Optional: 457 Deferred Compensation Savings Plan is available. HOLIDAYS: 15 per year: 12 recognized holidays and 3 floating days which are allocated for the fiscal year beginning October 1, to all 8 hour per day employees. Employees hired between October 1 and March 31 shall receive 3 floating holidays. Employees hired between April 1 and September 30 shall receive 1.5 floating holidays. Floating holidays must be used within the fiscal year. Non-task employees working 10-hour days receive 10, 10-hour paid holidays but do not receive floating holidays. FUNERAL LEAVE: Up to 3 workdays - In State; Up to 5 workdays - Out of State TUITION REIMBURSEMENT: Full-time employees are eligible for tuition reimbursement as outlined in the City's Tuition Reimbursement Policy which is available in Human Resources and subject to the availability of departmental funds. MILITARY LEAVE: Members in military reserve units who attend annual training are entitled to paid leave not to exceed 30 days each calendar year. EAP: Employees, spouses, and eligible dependents have access to five (5) face-to-face sessions with a counselor through Cigna's Employee Assistance Program (EAP). Services include assistance with legal, financial, parenting, elder care, pet care, and identity theft.
