It may be necessary, given the business need, to work occasional overtime.Job SummaryClerical Support Functions -Perform a variety of clerical support functions for assigned department while adhering to department policies and proceduresProvide clerical support to department including data entry, faxing, copying, distributing, and filing materialPrepare routine correspondence, memorandums, envelopes, labels, etc.Receive, sort and deliver telephone messages, mail, and reports to appropriate departmental staffPrepare and track incoming and outgoing courier packagesGreet visitors to the department and provide additional information to general inquiriesRun errands and respond to requests from departmental staffRespond to e-mail communication in a timely mannerAssist in scheduling meeting for departmental staffInventory and Maintenance Functions- Conduct inventory and maintain office supplies, as necessaryMaintain all copy related supplies (e.g., copy paper, toner, etc.)Ensure all departmental copy and fax machines are filled with paper, reloading as necessaryReport equipment issues or repair requests, ensuring a service call is placed to appropriate individualEnsure resolution of all copy related repairs and follow-up as required Report Preparation - Generate reports as requestedConduct research and compile data for report preparationPrepare reports, identify and resolve discrepanciesDistribute reports as requested by supervisorTeam Interfaces/Customer Service - Establish and maintain a professional relationship with internal/external customers, team members and department contactsCooperate with team members to meet goals or complete tasksProvide quality customer service that exceeds customer expectations and improves level of service being providedTreat all internal/external customers, team members and department contacts with dignity/respectEscalate to supervisor any situation outside the employee's control that could adversely impact the services being providedRelated Duties as AssignedThe job description documents the general nature and level of work but is not intended to be a comprehensive list of all activities, duties, and responsibilities required of job incumbentsConsequently, job incumbents may be asked to perform other duties as requiredAlso note, that reasonable accommodations may be made to enable individuals with disabilities to perform the functions outlined abovePlease contact your local Employee Relations representative to request a review of any such accommodationsMinimum RequirementsHigh school diploma or GED required. ExperienceMinimum one year general clerical or customer service experience required.
