Job Goal: Organize, coordinate, schedule and perform office functions to support the Principal/Assistant Principal/Director and/or Supervisor. Coordinate communications between administrators, District and site personnel, parents, students and the general public.Qualifications:High School diploma or equivalent, related school or office experienceAbility to use computers efficiently with knowledge of computer office programsProficiency in use of office machinery and technologyGood communication and interpersonal skillsKnowledge of school office proceduresAbility to exercise good judgment and common senseAbility to perform work accurately and thoroughlyAptitude or competence for other assigned responsibilities color: rgba(0, 0, 128, 1)">Responsibilities:Performs a variety of clerical, secretarial and bookkeeping duties in a school and/or District office.Organizes and coordinates a wide variety of clerical, bookkeeping and other office functions and activities related to the administration of diverse programs and operations at a school; prioritizes and schedules duties and assignments to assure efficiency and effectiveness and meets established timelines.Serves as secretary and provides administrative assistance to the Administrator; schedules and arranges appointments, meetings and conferences.Coordinates and facilitates communications between Administration, parents, students, school and support services.Communicates with a variety of site and District personnel and administrators to coordinate school operations and maintenance, resolves conflict and issues.Assists the Administrator in the preparation of reports; researches, compiles and organizes information.Processes requisitions and assists Department Chairpersons with maintenance of student data.Types from notes, rough draft or verbal instructions a variety of written materials including correspondence, bulletins, memoranda, calendars, requisitions and reports.Maintains daily teacher attendance log and records of substitute teachers.Acts as liaison between the school site and the general public by researching and conveying information concerning rules, regulations, policies, and laws; greets and directs visitors; addresses standard inquiries by letter, phone, email, fax or personal contact; maintains internal communication system insuring instructional, probation, and support personnel are kept informed of needed information; coordinates the transfer of information between site/program and outside agencies and districts; interacts with and assists students and parents/guardians by explaining and enforcing school site requirements; communicates as necessary with supervisor;maintains confidentiality of records.Ensures that appropriate calendars of activities are maintained for the school including establishment of schedules for parent conferences, Individualized Education Program (IEP) meetings, school visitors, and other meetings; generates daily substitute list; may assist in arranging and scheduling substitute and temporary employees for the school; greets substitutes and assists with directors and questions; assists Administrator and other staff in planning and preparing for staff meetings, in-services, conferences, and workshops; assists in the development of office procedures; insures appropriate security and safety methods are employed within the office; orders supplies and equipment for school/program insuring adequate levels are maintained. color: rgba(0, 0, 128, 1)">Rate of Compensation: In accordance with AFSCME Clerical Collective Bargaining AgreementNote: This 42-week clerical position is being added to move around where needed while much of their time could be in the main office when things become overloaded there especially in the morning with substitute and late arrivals but they would not be assigned to the main office. This person would also cover any position when a secretary was out to provide consistency or to help when there is extra work in any of the areas that have clerical assistance.
