Our members will feel that they are in a private house, being looked after with the utmost care and professionalism by friendly and attentive staff."¯"¯ POSITION SUMMARY The Reservationist is accountable for coordinating and managing all reservations."¯As a Reservationist for Maxime's, you will be part of our Reservations Department securing reservations for the Club. Your main responsibility will be to manage the day-to-day operation of Club Reservations and to facilitate members requests in a timely and efficient manner, oversee bookings, and member database, handle large parties and the process of taking, recording, changing, and canceling reservations, and support with various administrative and clerical functions as assigned by management. ESSENTIAL DUTIES and RESPONSIBILITIES Handle incoming reservation inquiries via phone, or email, providing information about availability and assist members in making reservations based on their preferences and requirements. Accurately input reservation details into Maxime's reservation system, including member information, room preferences, special requests, and payment details, ensuring completeness and correctness of reservation records. Confirm reservations with members via email or phone, providing confirmation details, reservation and club policies and dress code, and other relevant information to ensure members have all necessary information for them and their guests. Assist members with inquiries, requests, or changes to existing reservations, including modifications to booking dates, and provide solutions to ensure member satisfaction and retention. Communicate effectively with other departmental teams, including Membership, Reception and Restaurant Operations teams to coordinate special requests and preferences, ensuring seamless experience from booking to departure. Maintain accurate records of reservation activities, including member profiles, booking statistics, and revenue reports, and generate reservation related reports as needed for management analysis and decision making. Address members' concerns or issues related to reservations, such as discrepancies, cancellations, or special requests, and work with relevant departments to resolve problems promptly and satisfactorily. Liaise with club managers regarding reservation enquiries. Assist management with daily administrative tasks including but not limited to purchasing, ordering, invoicing, scheduling, records control, and filing. Prepare daily reservations sheet for club dining. Assist in reconciling all operational paperwork including but not limited to member receipts and vendor invoices Collaborate on special projects and tasks as assigned by the management team. PHYSICAL DEMANDS AND WORK ENVIRONMENT Ability to be flexible with job demands and open-minded when being asked to complete tasks. Ability to communicate and interact effectively and professionally with colleagues at various levels across the Company, members, and external collaborators. Ability to operate with grace under pressure. Ability to work varied hours/days as business dictates. Ability to sit for up to 8 hours per day.
