We are seeking a Purchasing Supervisor (Purchasing Manager) to join our dynamic team. What You'll Do: This is an exceptional opportunity for a highly skilled purchasing professional with a passion for sustainability and high standards of excellence. The Purchasing Supervisor will be instrumental in ensuring that all food, beverage, supplies, and equipment are procured with a focus on quality, cost-efficiency, and sustainability, aligning with our dedication to regenerative and carbon-neutral practices. Key Responsibilities: Strategic Purchasing and Inventory Management: · Oversee the purchasing of food, beverages (alcoholic and non-alcoholic), snacks, operating supplies, and equipment for a multi-unit property, including the Café, Restaurant, Concessions, and Event spaces. · Monitor inventory levels and ensure timely ordering to maintain optimal stock without over-purchasing, minimizing waste and improving cost efficiency. · Develop and implement effective procurement strategies that balance quality with budget requirements, ensuring the best possible pricing and terms. Vendor Relationships and Sourcing: · Build and maintain relationships with local, national, and international suppliers to ensure access to premium and sustainably sourced products. · Source new products that align with NYBG's sustainability goals, including organic, carbon-neutral, and regenerative products. · Negotiate pricing, contracts, and terms with vendors to secure the best value and favorable payment terms for the organization. · Evaluate suppliers' performance regularly to ensure consistent delivery of high-quality goods and services, addressing any issues promptly. Coordination and Communication: · Collaborate closely with the General Manager, Assistant General Manager, Executive Chef, Executive Office, and other department heads to align on purchasing needs, budget goals, and upcoming events. · Coordinate with department heads to anticipate product needs for seasonal menus, special events, and exhibitions, ensuring timely delivery and readiness. · Facilitate communication between culinary teams and suppliers to ensure proper understanding of quality standards, product specifications, and delivery expectations. Sustainability and Ethical Sourcing: · Work alongside the General Manager to secure products that align with NYBG and Constellation Culinary Group's sustainability initiatives, including regenerative, locally-sourced, and carbon-neutral products. · Promote responsible sourcing practices by selecting products that minimize environmental impact and support local communities. · Implement waste-reduction strategies through the purchasing process, such as sourcing reusable or recyclable packaging and materials. Financial Oversight and Reporting: · Prepare and manage budgets for all purchasing activities, ensuring alignment with financial targets and company goals. · Analyze market trends, pricing variations, and cost-saving opportunities, providing regular reports and recommendations to the General Manager Purchasing Manager and Executive Team. · Maintain accurate records of purchases, inventory levels, supplier agreements, and contracts. · Conduct monthly inventory audits, reconciling discrepancies, and providing actionable insights for improving purchasing efficiency. Operational Excellence: · Supervise the receiving of goods, ensuring that deliveries meet the quality and quantity specified in purchase orders, and that any discrepancies are addressed promptly. · Develop and implement standard operating procedures (SOPs) for purchasing and inventory management to streamline processes and ensure consistency across all units. · Train and guide staff on proper handling, storage, and management of inventory to maintain product quality and compliance with food safety standards. Team Leadership and Development: · Lead, mentor, and inspire a small team responsible for receiving and inventory management, fostering a culture of excellence and accountability. · Provide ongoing training to staff on new products, sustainability practices, and inventory best practices. · Encourage a collaborative work environment, ensuring seamless communication between purchasing, culinary, and operations teams. Qualifications: - Proven experience in a Purchasing Manager or Supervisor role within the hospitality industry, managing procurement for multi-unit operations. - Strong knowledge of sustainable and regenerative sourcing practices. - Experience in negotiating contracts, managing vendor relationships, and achieving cost savings. - Familiarity with inventory management systems and software. - Ability to handle multiple projects simultaneously, prioritize tasks, and meet deadlines. - Excellent communication and organizational skills, with attention to detail. - Ability to work collaboratively with diverse teams and adapt to evolving operational needs. Skills: - Negotiation and Vendor Management: Skilled in negotiating favorable terms with suppliers while maintaining long-term, mutually beneficial relationships. - Strategic Thinking: Ability to anticipate the needs of multiple outlets and adapt purchasing strategies accordingly. - Financial Acumen: Strong understanding of budget management, cost control, and financial analysis related to purchasing activities. - Analytical Skills: Ability to analyze inventory data, market trends, and supplier performance to drive informed purchasing decisions. - Sustainability Focus: Passionate about sourcing environmentally friendly products and reducing the company's ecological footprint. - Adaptability: Thrives in a fast-paced, dynamic environment and adjusts quickly to changes in demand or supply chain challenges.
