The Department of Hospital Finance at SUNY Downstate Health Sciences University is seeking a full-time Inventory Manager. The Inventory Manager, within the Central Sterile Department, is instrumental in optimizing inventory processes for the hospital's sterilization and supply chain operations. This role is responsible for maintaining adequate supplies in the central warehouse, Central Sterile warehouse, Nursing unit supply room inventory and other departments. The Central Sterile and central warehouses service the Nursing units (43) with daily (7 days per week) PAR (periodic automatic replenishment). Strong analytical, communication and reliability are some of the keys to success. Principle Duties and Responsibilities Inventory Analysis: * Manage inventory levels by completing daily replenishment, ensuring that issues and receipts are processed timely allowing the ERP to generate daily orders. * Manage primary products and substitute products inventory levels. * Adjust inventory levels and communicate changes to medical surgical distributor for demand and forecasting adjustments. Report on the fill rate and reliability of distributor service. * Conduct in-depth analysis (including cycle counts) of inventory turns, generating actionable insights to optimize stock levels. * Lead and coordinate comprehensive inventory audits to validate and reconcile inventory levels. * Manage a highly effective team in counting nursing unit stock, creating pick tickets and issuing stock from the inventory locations as needed. Proper processing of these transactions to reduce inventory to system variations. PAR Location Management: * Management of PAR (Periodic Automatic Replenishment) locations within the hospital, ensuring a seamless and efficient supply flow. * Fine-tune PAR levels to strike a balance between resource efficiency and cost-effectiveness, collaborating closely with nursing units to meet real-time requirements and add new items as needed. * Regularly analyze usage trends and proactively adjust PAR levels to meet departmental needs. * Forge close collaborations with nursing units to gain insights into their evolving inventory needs. Distribution Relationships: * Cultivate and maintain good relationships with distribution partners and vendors to ensure timely and accurate delivery of crucial supplies including managing discontinued items and long lead-time items. Product Conversion: * Lead the conversion management processes for product conversion ensuring a seamless transition and alignment with the hospital's objectives. * Collaborate closely with stakeholders and Value Analysis to gather insights and facilitate a smooth conversion process. * Reviews and approves product conversion and prepares plans for changing items on Nursing units. Regulatory Compliance: * Ensure compliance with industry regulations and standards related to inventory management. * Stay informed about relevant rules, regulations, and policies affecting inventory management and implement necessary adjustments. Continuous Improvement Initiatives: * Keep track of continuous improvement opportunities within inventory control areas. * Implement various strategies such as SS (Sort, Set in order, Shine, Standardize, Sustain) to enhance organization and efficiency. * Explore and implement technology as needed to enhance operations. Required Qualifications: * Bachelor's Degree. Preferred Qualifications: * Additional certifications in data analytics (e.g., Certified Analytics Professional) or process improvement methodologies (e.g., Lean Six Sigma) would be advantageous. * Advanced Microsoft Excel, PowerPoint, and Project Management software skills. * 3+ years of hands-on experience in inventory management preferably within a hospital or healthcare setting. * Essential proficiency in utilizing Lawson (lnfor) and Oracle (SCM Cloud) ERP systems. * Preferred knowledge of medical products or a working understanding of supply chain operations. * Demonstrated excellent problem-solving and analytical skills, with a track record of effectively addressing inventory challenges and optimizing supply chain processes in a healthcare environment.
