A primary focus of this position is to lead the efforts of Ambulatory Operations in order to improve services provided by the Clinical Enterprise in its ambulatory locations. The position has supervisory responsibility with managing and coordinating multiple projects that impact ambulatory operations. The position supports the development and implementation of strategic initiatives by assisting with the creation of comprehensive program plans for key organizational initiatives. The position contributes to meeting the objective goals of the organization, which includes: improving overall service levels, improving the patient and family experience, improving quality and safety performance and driving down costs through tracking, analyzing and reporting program and project initiatives and their progress. MINIMUM QUALIFICATIONS: EDUCATION, CERTIFICATION, AND/OR LICENSURE: 1. Bachelor's Degree in Business Administration, Communications, Education, Finance or related field required. EXPERIENCE: 1. Two years project management experience. PREFERRED QUALIFICATIONS: EDUCATION, CERTIFICATION, AND/OR LICENSURE: 1. Master's degree preferred. EXPERIENCE: 1. Experience in a large organization. 2. Experience in a hospital environment. Lead special projects and serve as the primary coordinator between multiple stakeholders, including ambulatory operations, clinical department leadership, information technology, and other. 2. Responsible for management of patient communications, MyChart initiatives, letter vendor relationships, and automatic phone/text vendor relationships. 3. Manage efforts to develop patient access reports, develop presentations, and help communicate findings to leadership. 4. Strategic planner throughout ambulatory clinics to coordinate marketing efforts, facility signage, and assist with other duties to ensure smooth day to day operations. 5. Responds to requests; explores and resolves problems as presented by Department Leadership, Faculty, Residents, Advanced Practice Providers (APPs), and clinical and clerical support staff. 6. Assist Director in standardization and process improvement techniques to improve patient experience. Identify ways to optimize the EMR to improve access and operational work flows. 7. Assists with the initiatives related to enhancing patient engagement and communications through the use of myWVUChart and 3rd party vendors capabilities. 8. Help maintain the Ambulatory Services website. 9. Serves as delegated administrative representative of Ambulatory Services Leadership with identifying outpatient operational deficiencies and other areas for improvement. Conducts analysis by performing weekly review of census reports, access reports, and other important metrics., 10. Initiates programs and projects in direct consultation with Directors and Senior Leadership, and coordinates their implementation and completion in collaboration with appropriate internal and external customers. Ability to assist with the development of analyses of results 3. Proven ability to document and refine complex processes to project plans 4. Working knowledge of Microsoft Office Suite and experience with Epic preferred 5. Oral and written communication ability to effectively represent the Ambulatory sites of service and Hospital in interactions with third party payers, patients, physicians and other departments. 6. Analytical and problem solving skills as well as the ability to work and communicate effectively with other departments 7. Knowledge of spread sheet, word processing and office software applications.
