Employment Type: Full time Shift: Description: Leads the development of content, strategy and operations for data & analytics, reporting and performance services for the assigned function. Builds and maintains a metrics framework for the HR Shared Operations Services ("HR Shared Services" or "HRSS"). Ensures that technology, effective processes and performance metrics exist and leads the development of actionable plans to improve functions and optimize resources and services. Partners closely with the other HRSS leaders to develop strategy, ability to tell the story of the function and operational plans and to implement comprehensive and coordinated services across the entire HR Shared Services function. Incorporates technology and continuous process improvement focus in all projects, products and processes. Collaborates with the Trinity Information System (TIS) function and organizational performance improvement functions to obtain support or utilize resources and tools. Works with and across all HR functions and platforms, representing the HR Shared Service function, to ensure consistent integration and implementation of the national HR strategy and operations. Works together with other functional directors related to HRSS team member recruitment, training, mentoring, development mapping, pay determinations and the like to create uniform standards, feel and tools that provide understanding of developmental opportunities. Leads and directs the Data, Analytics, Reporting, Technology and Performance Improvement Infrastructure for the HR Shared Services function. Ensures that technology and process improvement tools are procured, implemented and used extensively to efficiently and effectively provide effective services throughout the function. Leads the function's work related to the needs analysis, discovery, selection, implementation, enhancement, data integrity and maintenance of technology and business processes, ensuring partnership with the other Directors and team members to understand needs, process applications, costs, priorities, etc. Works closely with Trinity Information Systems (TIS), Supply Chain, Legal and other functions, as needed, to represent the function from a business perspective and completes required steps, processes, forms and information needed related to technology needs from the HRSS business perspective. Serves as liaison to the overall HR Analytics function and Trinity Information Services (TIS) function to receive information, obtain services, and as a contributor to HR information planning and mapping and other HRSS application strategies, reporting and roadmaps. Partners closely with Trinity Information Services (TIS) from the business owner / customer perspective to facilitate technology enablement, software system determinations and management (e.g., case management system, telephony, RPA, process software tools, etc.) including ensuring there is an internal governance process for needs, recommendations, fit, costing, business case development and evaluation. Ensures that the business is provided with an implementation team for any new or significantly upgraded technology outlining specific needs, resources, etc. Acts as on-point functional lead to one senior-most National Service Area (NSA) CHRO leader and their cross functional service area team, providing expert functional input, insight, guidance, information on strategies and operations and the like. Works with other two directors to consolidate information on what is occurring, needs, etc. and ensures actional responsiveness. Leads the development, by working closely with other directors in the HRSS function, to establish standards for HRSS data, and data integrity including accuracy, completeness, improvement in processes impacting data and consistency of colleague and organizational data across the action and employment lifecycles. Oversees the compilation, collection, management, compliance and integrity of Trinity Health colleague and organization data. Leads and coordinates the response to audits internal and external to the function (Internal Audit, Department of Labor, etc.), partnering with internal team members to provide accurate information and responses. Ensures that systems and processes are established to obtain, review and act upon customer feedback for the function, partnering closely with other functional directors, and using the information to recognize colleagues, address concerns and to review opportunities for service reporting, recovery and improvement. Acts as the strategy and planning lead for the assigned function, working collaboratively with other functional directors and team members in the development of priorities and initiatives and the monitoring of those. Overseas the auditing and quality of the assigned team's work. Proactively identifies and implements performance improvement initiatives by monitoring and analyzing metrics (service level agreements and key performance indicators). Initiates re-thinking of current ways of doing work for increased effectiveness and efficiency. Consolidates the quality reporting of the entire HRSS team. Provides tools and resources (including access to resources external to the HRSS function) to each functional leader and team members to proactively identify and implement operational excellence, process and performance improvement initiatives. Tracks, consolidates and reports on actions for the entire function. Oversees vendor agreements for assigned team's services ensuring that work is being completed according to requirements, monitoring service level commitments, meeting regularly, ensuring that service issues are addressed, identifying the need for vendor expansion or change and management of and overseeing payments. Builds and manages strategic and collaborative relationships with all functional vendors, partnering with other directors who may be the primary users of the vendor and aligns with Supply Chain practices for requirements, vetting, reviewing and analyzing. Creates departmental parameters for and coordinates consolidated reporting on vendor performance evaluation to ensure vendors meet or exceed contractual obligations. Leads the provision of HRSS data analysis, administration, systems and vendor integration for entities and for Mergers, Transactions & Acquisition (M,T&A) from an HR Shared Services perspective by ensuring TIS resources and others are leading technical integration portions, testing occurs and implementations are timely and effective. Works closely with the other HRSS directors to partner for seamless integration. Acts as the Shared Services financials lead, working collaboratively with other directors; ensures monitoring of spend and position openings, assisting with financial modeling and primary liaison with Finance. Sources and implements technology systems to support training or educational tools and guides, such as video production, etc. Proactively leads the continuous improvement for the HRSS team (e.g., repository for process flows, capability mapping, and other tool capabilities; process mapping and implementation, etc.) utilizing team members or those from other functions or external to the organization (e.g., TIS, Organization Design & Development (OD&D), Performance Improvement, etc.) for identified needs; Partners with other directors on OneHR Optimization. Oversees creation and maintenance of assigned team's internal knowledge base materials such as department process documentation, standard operating procedures (SOP), job aids, training materials and other resources and ensures team adoption of practices. Ensures the development and consolidation of the entire function's Standard Operating Procedures (SOPs) including providing templates and assistance in drafting to the other directors. Leads the development of contingent system planning (e.g., system outages, breaches, etc.). Works with the Trinity Health audit function to develop methods for detecting inappropriate access to employee records by the function. Ensures security roles are reviewed and appropriate assignments are made. Leads troubleshooting, investigation and resolution of root cause for data integrity issues. Oversees accuracy and completeness of Workday data load processes related to colleague or organizational data. Provides technical or advisory support to teams that are building a best-in-class colleague experience and who are identifying process improvements and automation projects, tools and methods (both within the HR Service Center and cross-functionally) that continue to improve customer experience. Oversees an assigned team and works together with other functional directors related to HRSS team member recruitment, training, mentoring, development mapping, pay determinations, retention, colleague input strategies and the like to create experiences, standards, resources and tools that engage HRSS colleagues. Ensures that work is done in compliance with laws, regulations, policies and procedures, working closely with HR Centers of Expertise, Legal and other functions. Maintains a working knowledge of applicable federal, state and local laws/regulations, Trinity Health Integrity and Compliance Program and Code of Conduct, as well as other policies, procedures, and guidelines in order to ensure adherence in a manner that reflects honest, ethical and professional behavior, and safe work practices. Minimum Qualifications Bachelor's Degree in a field that required analysis and/or strong math or writing skills or an equivalent combination of education and experience. Advanced degree with related connection to ability to do the work desirable. Experience in healthcare Human Resources is a plus. Seven years of Human Resources related experience including five (5) years of progressively more responsible leadership experience and comprehensive knowledge of a variety of Human Resources functions. Significant and deep experience leading, overall or a significant portion thereof, an HR Shared Services function, HR Service Center, HR Center of Expertise, oversight of varied administrative matters as a director, manager or Chief HR Officer, HR Information Systems or similar complex customer service focused function providing breadth and depth of HR services and where data analysis and improvements were required. Significant experience with Workday is a plus. Record of using technical and / or reporting tools and record of a proactive strategic initiative-orientation to explore and implement new tools and options (e.g., scorecards, graphic depictions of services, databases, use of artificial intelligence, process efficiency tools and products, etc.) and / or ensure a repository exists for tracking services, service levels, etc. Writing skills sufficient to depict and summarize needs, analysis, create information related to status and programs and to build business cases. Record of using verbal, interpersonal, consultative, and relationship building skills sufficient to initiate and develop productive, collaborative, interdependent partnerships within the function and with all levels of leadership across the organization. Record of effectively influencing results, garnering support and tactfully managing complex relationships within and across the organization. High level of diplomacy and tact as well as ability to read subtle nuances of a situation and react / plan accordingly are required. Working knowledge of and experience with various Federal, State and Local laws related to a broad base of employment / Human Resources topics, including, but not limited to Federal, State and local leave laws; ERISA; EEOC; ADAAA: FMLA: FLSA; ACA; HIPAA; etc. Managerial and supervisory experience engaging and developing colleagues. Experience with technology and associated applications required to efficiently and effectively manage the work of the function, particularly ensuring that services are provided effectively and efficiently. A focus on utilizing technology, artificial intelligence and process improvement orientation is required. Knowledge of and experience with a variety of HR functional areas and their information, knowledge and administrative responsibilities and requirements. Record of leadership, integration and execution skill application. Experience defining programs, processes or business objectives and scope. Experience identifying, evaluating, and articulating opportunities, risks, business needs / gaps and understanding customer / stakeholder interests. Experience with providing functional leadership for mergers, transitions and acquisitions and participating in diligence and integrating entities and colleagues or divesting entities is a plus. Must be comfortable operating in a collaborative, shared leadership environment possessing demonstrated team player and leadership skills. Ability to respect confidential and sensitive information and understand and honor lines of accountability.
