About Our DistrictThe Madison Metropolitan School District is the second largest school district in Wisconsin. The district serves a beautifully diverse population of more than 27,000 students. Madison schools are committed to making this district a place where every child thrives.Purpose of Position: Under the general supervision of the Director of Summer Learning this position is responsible for supporting the implementation of the annual Summer Semester program and clerical support for Curriculum & Instruction. The Administrative Assistant will serve as the liaison and main point of contact with key departments within MMSD, such as Human Resources, Transportation, Purchasing and Building Services. This role will be responsible for the management of the Summer Semester online enrollment system, Summer Semester materials system, and website and other communications. In addition, this role provides general administrative and secretarial support to both the Summer Semester Office and Curriculum & Instruction, to include but not limited to payroll, meeting scheduling, filing, contract management, materials purchasing, conference processing and budget support. Cross-Department CollaborationWorks closely with other central office and district departments focused on the operational and logistical implementation of Summer SemesterWork closely with team of Curriculum & Instruction Admin Assistants to complete workDevelops a comprehensive plan for logistics related to site identification, materials purchasing, hiring, enrollment, food services, transportation, MSCR, and other aspects of Summer Semester.Collaborates with Human Resources to implement a proactive and efficient hiring process for Summer Semester.Conduct meetings as necessary to facilitate and share information; prepare summaries of these meetings to share with the Director of Summer Learning, including meeting outcomes and actionable next steps. Summer Semester Online Enrollment SystemManages the Summer Semester enrollment system (4K-12).Works with the Director of Summer Learning and other MMSD colleagues to identify areas for improvement, and ways to streamline the Summer Semester enrollment process.Summer Semester Materials ManagementOversees the dissemination of Summer Semester materials, including their return to the warehouse and their inventorying, end of summer clean up, and develops a plan for their disbursement the following summer.Works with the Director of Summer Learning and colleagues from various departments regarding the review of required materials and the purchasing of new materials.Liaises with the Purchasing Department and Central Receiving to ensure that new Summer Semester materials arrive and are sorted in a timely manner.Navigates the Munis purchasing system as it pertains to materials management. General Teaching & Learning Administrative SupportServes as the main administrative support to the Director of Summer Learning and the Summer Semester Office.Trains and oversees the work of the Summer Semester LTE as necessary in office procedures and tasks.Train and provide support for Summer Semester Site SecretariesServe as clerical support to other departments within Teaching & Learning, as necessarySchedule meetings/appointmentsCompose correspondence, reports, and other documentsCompile and monitor various budgetsAssist in coordinating department activitiesAssist with payroll, extended employment projects, reimbursements, and other related tasks. Meeting ManagementSchedules meetings/appointments for the Director and maintains appointment calendar.Schedules Summer Semester planning meetings. Budget Support and P-card managementMonitors the Summer Semester budget.Works with the Director to ensure the proper spending of budgetary funds.Manages the Summer Semester Office's purchasing card(s), including their reconciliation. General Email, Phone, Website and Communication SupportOversees Summer Semester student registration.Manages Summer Semester phone and email correspondence.Manages the Summer Semester website's content in collaboration with the MMSD web buddy. Payroll:Navigates the Munis and the HR systems along with the Kronos system for payroll; prepares and processes requisitions and payroll using said systems.Completes monthly and bi-weekly payroll for staff not paid by Summer Semester Secretaries.Manages the Summer Semester payroll for Professional Development.Supports extended employment projects, reimbursements, and other related tasks.Support Curriculum & Instruction payrollRequired Knowledge, Skills & AbilitiesAbility to manage multiple and competing tasks in a timely mannerAbility to communicate effectively both in written and verbal form to all stakeholders (families, schools, departments)Exceptional organizational skills with the ability to set priorities, make decisions and meet deadlines.Ability to work independently with minimal supervision.Ability to analyze basic data sets.Ability to provide positive customer service to stakeholdersAbility to problem solve and present solutions to support efficiencies with clerical tasksComputer experience (Microsoft office, Google)Experience in managing general financial and budget related tasksMust be willing and able to work extra hours beyond the typical workday as needed.Experience working cross-culturally and/or commitment to work toward improving one's own cultural competence., i.e., valuing difference/diversity, recognizing personal limitations in one's skills and expertise, and having the desire to learn in these areasMinimum QualificationsAssociate Degree or higher or the equivalent work experienceBilingual Spanish/English, fluency will be assessed.Five years of successful experience in clerical job with data entry and office management responsibilitiesDemonstrated successful and proficient experience using Microsoft Office, Word, Excel, Powerpoint (word processing, creating forms, graphs, tables and calendars; merging documents. Familiarity with Google Docs, Forms, Sheets, etc.Experience with basic project management tools and techniques.Effective customer service/communication skillsAbility to run database reports and communicate information through a variety of formatsDemonstrated organizational skills and proven ability to be self-directed Desired QualificationsExperience running queries and manipulating data to create graphical displaysAbility to analyze and design system improvements for maximizing job efficiencyBilingual Spanish/English, fluency will be assessed.Physical Requirements:This is an active position organizing summer materials and the applicant will need to be able to bend and lift approximately 20-25 pounds.The Madison Metropolitan School District is an Equal Opportunity Employer.
