Job Summary: Lucky13 Hospitality Group is seeking an energetic Event Coordinator to join our team! You'll manage the booking, planning, and coordination of exciting events at two of our venues, including Bamboo Club, Lost Never Found, and pop-ups like Charm'd Bar, Santa Baby, and Nightmare on Clark Street. 90% of your time will focus on private parties, corporate events, weddings, and more, while 10% will involve managing our established restaurant programming, such as trivia nights and cocktail classes. You'll play a key role in bringing our team's ideas to life, ensuring smooth event coordination and successful execution across all our venues. Key Responsibilities: Event Planning and Coordination (90%): Book and manage private events across multiple venues, including corporate gatherings, weddings, and birthday celebrations. Programming Management (10%): Oversee the programming schedule (such as trivia nights, cocktail classes, and drag brunches) and serve as the main contact between the venues and programming vendors. Ensure all programming is scheduled on the website, OpenTable, and ticketing websites. Client Interaction and Sales: Respond promptly to event inquiries via phone and email. Identify business potential, close sales, negotiate terms, upsell services, and ensure client satisfaction. Conduct venue walk-throughs for two locations located one block apart. Contracts, BEOs and Invoices: Handle contracts and negotiations, create proposals with floorplans, custom menus, and event outlines, and process invoices for deposits and final payments. Reconcile accounts as needed. Create, update, and communicate BEOs with FOH and BOH teams to ensure seamless event execution. Collaboration: Work closely with the management team to ensure proper staffing and logistics for events. Review menu and beverage selections with the GM and Kitchen Manager to ensure all necessary items are ordered. Administrative and Reporting: Use event management software (Tripleseat) to manage bookings, payments, and event details. Provide regular reports on sales and event performance to the Director of Operations. Required Experience and Skills: 1+ years of event coordination or hospitality experience. Familiarity with reservation and booking platforms (e.g., OpenTable, EventBrite) and experience with Tripleseat or similar event software is preferred. Strong communication and organizational skills, with a keen eye for detail. Excellent customer service and people skills. Ability to multitask and solve problems in a fast-paced environment with minimal direction.
