Position Summary:The Administrative Clerk will support the front-of-house, office services and facilities functions for the office by performing a variety of clerical and administrative tasks. This position is in-office, Monday - Friday, 8:00 a.m. - 5:00 p.m. Candidate should also be flexible to work overtime as needed to accommodate hospitability needs.Duties & Responsibilities:Performs office services tasks including internal mail delivery, arranging for UPS and messenger services, processing incoming and outgoing mail, faxing, handling large print, scan and/or copyMonitors office supplies and orders new stationery, furniture, appliances, and electronics as requiredPurchases and tracks food and beverage supplies and identifies and works with vendors appropriate for purchasing needsCoordinates and oversees the day-to-day maintenance needs of the office, as appropriate, to include logistics, security, and related activitiesInspects work and other spaces frequently and identifies areas in need of painting, repair or maintenanceProvides setup, cleanup and catering assistance for meetings and eventsManages the setup for conference rooms to ensure reservation requests are met prior to the scheduled meetingArranges for catering and acts as liaison between food service staff and firm to ensure perfect order and timingAssists with other department activities as needed, and performs additional duties and responsibilities as assignedSkills & Competencies:Excellent technology, internet research skillsStrong attention to detail, outstanding organizational skills and the ability to manage time effectivelyTeam player with a positive, can-do attitude and work well under pressureWork efficiently with the ability to multi-task while maintaining the highest quality work productExcellent interpersonal and communication skills (oral and written) with a professional demeanorDependable, reliable and punctualQualifications & Prior Experience:Two years' experience working in a professional organizationHigh school diploma or equivalent required Proficiency with Windows-based software and Microsoft Office SuiteCompetent working knowledge of all functions of copy, printing, binding, scanning, and mailing equipmentMust be able to move and/or lift 50 lbs. without assistance and up to 140 pounds with assistance, push carts, use step ladders, walk, stand, kneel and reach the majority of the day and retrieve/replace objects from shelving units (from floor level to 8 feet high)Physical Requirements:While performing the duties of this job, the employee is occasionally required to move from workstation or desk throughout the work area to work independently or with a team to meet with colleagues or supervisor and retrieve work assignmentsThis position may also be sedentary and require the employee to sit for extended periods of timeRequires manual dexterity to dial a telephone, enter data into a computer, handle objects, and operate toolsRequires manual dexterity and physical mobility of whole body, including the ability to move frequently as needed for mail and supplies delivery or other similar tasks, ability to bend, lift, push, pull required; ability of handling heavy objects and overhead reaching, as well as walk and stand for long periods of timeGreenberg Traurig is committed to diversity and inclusion in the workplace.
