We are seeking a Office Coordinator for a very important client.We are looking for skilled professional to undertake a variety of the day-to-day office and administrative tasks. You will be an integral part in ensuring that the office operations run smoothly and are successful in supporting other business activities. Responsibilities Receptionist: - Greet and provide white-glove service to company employees and high-profile clients. - Provide back-up support to Front Lobby by answering incoming phone calls and emails in a professional and timely manner. - Schedule conference room and ensure they are clean and sanitized for meetings. - Ensure visitors are escorted, seated, and provide beverage and refreshment services. - Prepare security badges and arrange for necessary escort for external visitors. Facilities: - Oversee and manage the day-to-day facilities and building operations. - Act as a liaison between Facilities Helpdesk and Property Management to report building issues and process work order requests including, but not limited to parking lot, pest control, landscaping, electrical, plumbing and HVAC maintenance. - Coordinate construction/remodeling relationships with Project Management and vendors. - Support Global Safety Management team to ensure protocols and guidelines are followed ? provide warden duties and lead local team to safety during emergencies. - Ensure office equipment and furniture is in good working condition including but not limited to printers, coffee machines, desks, and chairs ? contact maintenance and track downtime. - Space and data planning support for seating arrangement through Serraview application. Technology: - Ensure stock and good working condition of IT and office equipment / workstations including, but not limited to docking stations, monitors, keyboards, mouse, and phones. - Maintain functionality of A/V equipment in the office and Conference Rooms. - Proficient understanding of Zoom application and how to set up presentation for meetings. - Proficient understanding of technology (computer set-up, Wi-Fi network issues) to provide support to onsite team members. Office Support - Process confidential mail and packages to ensure timely delivery to designated team members. - Provide event and meeting support/coordination including, but not limited to technology, catering, security, porter/cleanup, equipment rentals and administrative tasks. (may include staying after hours) - Ordering all office supplies and breakroom items and ensure they are well- stocked including refreshments, paper, snacks, utensils, and swag items. - Oversee porter services ? ensure the office is clean and sanitized throughout the day including floors being free of debris and restrooms are equipped with the necessary items. - Processing invoices and expense reports for all office-related purchases. - Provide monthly metrics and usage reports to workplace services team. - Supporting all administrative and executive assistants with all clerical-related duties. Requirement: The ideal candidate will possess the following qualifications:The Office Coordinator must remain organized, competent, professional and have phenomenal communication skills to support the Capital and Private Bank business units. You must be comfortable working with a variety of high-level executive team members and be able to carry out administrative duties with accuracy and speed.
