Job DescriptionThis role sits within Heart Haus, the internal creative agency for CVS Health. Reporting to the Group Director, Creative, the Creative Assistant/Coordinator will play an important administrative and supportive role within Group Management team and provide support for a broader team of creatives.This role will suit someone who is a people person, has a positive attitude and is a team player. A self-starter with strong attention to detail and solutions-oriented mindset is necessary. We want to work with someone that is eager to learn, document process, and roll up their sleeves to do what it takes to get the job done. Must be pro-active and capable of figuring things out with little guidance.The ideal candidate will come from a creative team or agency setting and understands the creative industry and common creative and design terminologies. Must also have a strong technical aptitude and be capable of managing complex IT requests and challenges through resolution.Responsibilities include but are not limited to:New Hire Onboarding Support Coordinate, submit and track all IT requests for access, equipment, and software across the creative team as it relates to new hire onboarding Coordinate and collect details from hiring managers for equipment orders and new hire onboarding emails, plus prepare and send onboarding emails based on approved template Coordinate with new hires pre-start to obtain necessary information, equipment preferences, head shots and fun facts Act as point of contact for new hires on day 1 to assist with access challenges and requests Work with other admins to ensure creative new hires are on necessary distribution listsMaintenance & Group Management Support Coordinate, submit and track IT requests for access, equipment, and software for the current creative team and track fixes through resolution Maintain team org charts and documents Monthly review and maintenance of training curriculums, ensure links are updated and working Manage design memberships and keep lists updated on an as needed basis - AIGA, DMI, IHAF, LinkedIn Learning, etc. Assist team with various awards submissions Learn and understand processes within the team, and maintain and document that information Help maintain Group Management documents and shared folders Prepare decks and agendas for meetings Support Group Management with other tasks as assignedAdministrative Support Schedule Group Management monthly 1:1s and various other meetings Coordinate and schedule interviews with contract candidates Support creative team with navigating various systems - expense reports, travel, compliance, etc. Partner with other admins as requiredTimesheets & Compliance Review and approve weekly Workfront timesheets and communicating with team and individuals as needed to enforce compliance Review and approve weekly timesheets for contractors in Fieldglass Support Group Management with driving compliance overall - LearningHub, etc.Breakdown of time: % time1. Onboarding Support (priority, especially during heavy recruiting periods) - 50%2. Maintenance and Group Management Support - 25%3. Administrative Support - 15%4. Timesheets and Compliance - 10%Pay RangeThe typical pay range for this role is:Minimum: 40,600Maximum: 81,100Please keep in mind that this range represents the pay range for all positions in the job grade within which this position falls.
