Job DescriptionBecome a key contributor of Minute Clinic's innovative healthcare journey. This is a fast-paced and dynamic opportunity for a professional who is intuitive, tenacious, proactive, service oriented and driven. The Executive Assistant will support and report into a talented, passionate and hardworking pair of C-Suite executives, the Chief Nursing Officer and the VP, Patient Care Delivery/Interim President of Minute Clinic. As a trusted member of the team, you will have far-reaching impact across the organization with a front-row seat to the inner-workings of a high-growth company. Duties of this role include the access to confidential information, administrative activities such as managing complex calendars, creating arrangements for team meetings, making multi-level travel arrangements, reviewing presentations/reporting, executive preparation/ logistics and coordinating activities with multiple cross functioning enterprise departments. This role exercises considerable discretion and independent judgment and requires the ability of analyzing complex information requests. The Executive Assistant is the calming force in a sea of urgency as the leaders and colleagues seek support from several competing priorities and directions.Duties of the Executive Assistant (including but not limited to): Maintain and manage calendars, meeting arrangements, scheduling conference rooms, conference calls and resolve scheduling conflicts with attendees and schedule owners. Total travel coordination including arranging multi-leg air and ground transportation, hotel reservations, itinerary and travel documentation. Screening and responding to incoming calls and correspondence with high level customer service. Preparation of meeting materials, agenda, logistics. Responding to leader and team requests and queries with clear communication, direction and in a timely manner. Lead the planning, scheduling and follow up of team/department business meetings, special events with catering, including Town Hall meetings, recognition events, special communications for leadership teams. Maintain an efficient flow of information between all levels including internal and external contacts on a wide spectrum of plans and priorities. Compose/Edit/Proofread a variety of communications/reporting/policies s and other printed or electronic documents on behalf of the executives. Act as point of contact for urgent business needs and assist to identify issues for escalations, communicating and ensuring that leadership and executive team is well informed. Preparing, maintaining, and submitting expense reports and processing invoices.Required Qualifications3+ years of office management experience (large meeting planning, travel, logistics, calendar management, communication support) 3+ years as an administrative assistant to senior level executives 3+ of experience in Microsoft Office Suite Ability to work a hybrid schedule of 2-3 weekdays in office and with the rest of the work week remote.COVID RequirementsCOVID-19 Vaccination RequirementCVS Health requires certain colleagues to be fully vaccinated against COVID-19 (including any booster shots if required), where allowable under the law, unless they are approved for a reasonable accommodation based on disability, medical condition, religious belief, or other legally recognized reasons that prevents them from being vaccinated.
