The Deputy Controller supports the controller and upper management in overseeing the Outlaw Group's financial activities. This position monitors the company's financial state to anticipate needs in several highly seasonal industries. The Deputy Controller will work closely with the controller and accounting associate to ensure consistent financial reporting and best practices. Responsibilities include bookkeeping, financial reporting, taxes & compliance, processing payroll, handling chargebacks and other transaction management, building budgets, and assisting with development and implementation of SOPs as needed.Job Responsibilities:Bookkeeping in coordination with accounting associateEnter payments in Quickbooks; cut checks; reconcile transactionsManage fixed assets, account maintenance, loansTrack purchase orders and invoice approvalsMonitor employee credit card usageApply for loans, grants, and other financial resourcesFlag outstanding expense reports and invoice approvalsFinancial ReportingProvide weekly, monthly, quarterly, and annual reports on individual business lines and the business as a whole, including income statements, balance sheets, cash flow statementsCreate detailed analyses of revenue by product, location, and more to determine where we are seeing growth or falling short of revenue goalsBuild new reports in Domo as neededChargeback and transaction [AM1] managementRun reports on all POS and reservations systems to identify outstanding paymentsInvoice or pay booking partners and large clients monthlyRespond to chargebacks in coordination with the sales teamIdentify and correct discrepancies between batch settlements and sales/ reservations systemsPayrollManage full-cycle payroll processing through payroll processing system [ADP]Issue paycheck corrections, final paychecks, and other manual checksUpdate pay rates, commissions, bonuses and all other pay details in all relevant systemsWork with managers to ensure accurate timecards and trip reporting each pay periodUpdate garnishments, insurance payments, rent payments and other deductionsTaxes & CompliancePrepare and submit retail taxes and lodging taxesCollect W9's and issue 1099'sPrepare and submit assessor's schedulesWork with 3rd party accounting firm to prepare and submit annual state and federal income taxesEnsure all tax payments, including property tax and all taxes noted above, are submitted accurately and on timeMonitor relevant changes to state and federal law that will affect company complianceBudgetingAssist controller and preparing and presenting annual budgets for all brands and departmentsPrepare and present monthly updates on spend against budgetPrepare and send biweekly labor updatesAssist controller with preparing cash flow and other forecasts to facilitate financial decision makingFlag categories where spend has run over budget or is likely to run over budgetProcesses & PoliciesAssist controller with developing and documenting SOP's and internal guidelinesCreate trainings for managers and staff around financial policiesAssist with shopping and onboarding new software solutions to increase efficiencyFlag staff/ manager failure to adhere to policies and proceduresOther responsibilities as assigned [AM1]Outstanding balances, batches, other sales auditsQualifications:Bachelor's degree in accounting, finance business, or related fieldMinimum of 2 years experience in a financial roleStrong attention detail and accuracyStrong organizational skillsExcellent analytical and problem-solving skillsProficiency in Quickbooks and ExcelAptitude in learning new software systemsHigh discretion and ability handle confidential financial information
