Description The Undergraduate Communications Design Department at Pratt Institute is seeking a tech-savvy, detail-oriented Department Manager (formerly known as Assistant to the Chair) who will supervise the daily UG ComD office operations and assist the Chairperson and Assistant Chairs with administrative duties. The DM will proactively identify and address the daily needs of the office to ensure smooth and responsive operation, managing the departmental needs such as budget, events, and communication outreach. This person will be the first point of entry into our department, so it is essential that they have excellent interpersonal skills and be a highly effective communicator with strong listening skills. Examples of Duties Support the administrative needs of the Chair and Assistant Chairs to ensure smooth running of daily operations including maintaining calendar; scheduling staff and faculty meetings; coordinating departmental communication via email, video displays, and social media channels. Manage and prioritize daily office activities including generating purchase orders; running enrollment reports and utilizing spreadsheets; processing reimbursements; organizing and maintaining filing systems; preserving confidentiality of student and faculty files; initiating appropriate forms as directed; managing databases and calendars. Hire, assign tasks, and supervise work-study students and/or graduate assistants. In coordination with the Director of Finance, reconcile expenses, manage operations budget, track expenses, and process payments. Coordinate with the Chair and Assistant Chairs on all departmental and Institute-wide events. Assist with special events such as student reviews, coordinator meetings, Pratt Shows, and lecture series. Manage financial activities at the department level including generating purchase orders, setting up spreadsheets, initiating payroll/payment actions for work-study, overseeing expenditures, and working with the campus budget office to ensure appropriate documentation and accountability. Support the Assistant Chair with overseeing classrooms/facilities. Other duties as assigned. Qualifications Education: B.A. or equivalent required. MA is a plus. Experience: 3 years' experience in administrative roles, preferably in a higher education or arts administrative environment. Required Skills: Above average word processing, Excel, and digital skills; able to generate and edit correspondence. Must possess a demonstrated ability to use MS Word, Excel, and the entire Google Suite. Ability to work with students and staff from diverse backgrounds, along with a demonstrated level of cultural competency.
