Position Overview We are seeking a dynamic and dedicated Executive/Management Assistant to support high-level management and company owners. This role requires a professional who is eager to learn and grow, particularly in the field of purchasing. The ideal candidate will possess exceptional organizational and communication skills, along with a keen attention to detail. Key Responsibilities *Communication - Prioritize and manage emails, phone calls, and other correspondence. - Answer and return calls promptly and professionally. *Travel Coordination - Arrange and manage travel plans and itineraries. *Document Management - Gather and prepare documents for meetings. - Maintain various records and documents for company executives. *Expense Tracking - Monitor and report on expenses. - Create and manage expense reports. *Client Relations - Greet clients and ensure exceptional customer service. - Supervise vendors and contractors for property projects. *Purchasing and Contract Management - Learn and grow as a purchasing agent. - Process and code new contracts and change orders using Timberline Software. - Update Scopes of Work and job General Conditions for each contract using Microsoft Word. - Communicate with subcontractors to request, revise, and negotiate pricing. - Organize and verify subcontractors' insurance and licenses. *Personal Property Management - Manage personal property for company executives. Required Skills and Qualifications -Bachelor's Degree: Required. -Professionalism and Discretion: Maintain confidentiality and professionalism in all interactions. -Communication Skills: Excellent written and verbal communication skills. -Time Management: Strong ability to manage time effectively and meet deadlines. -Attention to Detail: Keen eye for detail in all tasks. -Organization: Superior organizational skills and ability to multitask. -Technical Proficiency: Familiarity with Microsoft Office, Excel, Google Sheets, Quicken, QuickBooks, YouTube management, and DocuSign. -Software Knowledge: Experience with Timberline Software preferred, but not required. -Construction Plans: Ability to read and understand construction plans. -Interpersonal Skills: Ability to work well within a team. -Dog-Friendly: Must be comfortable around dogs.
