In our team-like atmosphere, you are sure to find a culture of collegiality, mutual support, and encouragement.We offer a full package of benefits including a 401(k) match and health insurance and company covered STD, LTD, AD&D and parental leave.Regular training and professional development opportunities.Earn 80 hours of PTO in your first 12 months then jump to 120 hours of PTO in the following year.The Harris Law Firm is an equal-opportunity employer.What does our Executive Assistant do?The Executive Assistant performs a wide variety of support functions for the Firm's Partners and leadership to facilitate successful advertising efforts and efficient operation of the Firm.Greets clients, visitors, and guests; determines the purpose for each person's visit and notifies appropriate Firm employee· Manages and maintains calendar for executives and/or other assigned leadership staff.· Organize, prepare, and manage meetings including scheduling maintenance and sending reminders regarding upcoming appointments· Arranges travel and accommodations for executives and or other leadership staff.· Coordinate communications on behalf of the executives, draft emails, and edit company-wide announcements· Support Firm and executive staff with general operational tasks· Prepares and distributes agendas to Firm meetings / Transcribes meeting notes and minutes for proper historical documentation· Retrieves information as requested from records, email, minutes and other related documents· Track and follow up on requests / Identify which require immediate attention· Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business· Administrative tasks such as making and receiving phone calls.· Supports the administrative team in answering phones and other administrative tasks as needed· Update spreadsheets to keep track and report· Performs other duties as assignedWhat you bring to the team!Education and Experience: Associate degree or equivalent job experience· Three to five years of experience in an administrative role· A minimum of two years in customer/client facing roles.· Ability to obtain Notary Commission CertificateKnowledge/Skills: · Strong verbal and written communication abilities are essential for clear, professional correspondence, while exceptional interpersonal and customer service skills ensure positive, productive relationships. Proficiency in Microsoft Office Suite is key, with the ability to quickly adapt to new software and tools. The role demands excellent organizational skills and a keen attention to detail to manage complex schedules and tasks. Problem-solving and critical thinking are crucial for anticipating challenges, making quick decisions under pressure, and adapting to fast-paced environments. Additionally, an ideal candidate should have intuitive assessment abilities, anticipating the executive's needs, prioritizing tasks independently, and identifying inefficiencies with the ability to suggest improvements.
