The Assistant Director of Facilities and Event Management is responsible for facility management of soccer and lacrosse facilities and game management for soccer and lacrosse regular season and postseason contests. This position will be the secondary manager of parking and traffic for athletics events and daily operations. About the Work UnitVanderbilt University's Athletics Department prepares student-athletes to become leaders and champions in life by placing the highest values on integrity, character, sportsmanship and victory. Vanderbilt is a charter member of the Southeastern Conference and is the conference's only private school. The university currently fields 17 varsity teams (6 men's teams and 11 women's teams), 15 of which compete in the Southeastern Conference. Duties and ResponsibilitiesResponsible for game and facility management aspects of assigned sports (primarily soccer, lacrosse)Work in conjunction with university maintenance and grounds crew to ensure the fields and facilities are prepared to host scheduled eventsCreate a plan for the operation of assigned events and work with internal and external departments to ensure execution of assignments related to eventIncluding, but not limited to sports medicine, marketing, video/radio and television, director of operations for assigned sports, game officials (per SEC and NCAA regulations), plant/grounds, concessions, Learfield, VUPD, traffic and parking, etc. Assist with game operations for other Vanderbilt sports as directed by the Associate Athletic Director of Facilities & Event ManagementResponsible for assigned area of home football operationsAssist with postseason events as requestedManage parking for athletics events and daily operations, serving as the secondary manager for planning and executing parking and traffic operations. Continually make recommendations for opportunities to improve the functionality and success of the athletics parking and traffic processes.Participate in development and revision of a parking and traffic operations planningAs necessary, solicit, hire, and train parking attendantsAs applicable, manage the payroll for the parking program and ensure compliance with all HR policiesManage the expenses and revenues under the parking programDevelop best practices for operating logisticsServe as the facility lead for Soccer and Lacrosse Complex to oversee its operation and maintenance, as well as make recommendations on projects to continuously improve the facility. Share in the management of the outdoor track facility, which houses the soccer and lacrosse practice field.Assigned facility/event management tasksOperate with consideration of the facilitys budgetMaintain cleaning standards and perform routine building surveysManage facilities equipment needsCoordinate repairs and maintenance of buildings, fields and groundsPlan and recommend facility improvements Assist with scheduling of practice times and other facility usageLead assigned sport operations meetings 2-3 times per year to determine needs for all stakeholders as it pertains to soccer and lacrosse gamesCoordinate TV set-up for assigned sportsMeet with television director/producer in advance to determine needs to televise eventCreate a logistical plan to execute the needs of the television representativesEvaluate staffing needs to assist in production and recruit appropriate staffing to fill needsManage credentialing needs for television personnelServe as the liaison between television production and university plant to determine and fulfill needs to execute televised event (ex: electrical needs, establishing television compound, etc.)Work with television production and director of sport operations to create timelineAthletics liaison for event support staff, including concessions, guest services, VUPD, LifeFlight, bookstore, marketing, Learfield, NCC, ticketing, custodial, etc. for assigned sportsAssist Associate Athletic Director of Facilities & Event Management as liaison for maintenance and housekeepingMaintain daily cleaning standards and survey buildings for cleaning standards and maintenance itemsProcess and manage work orders to address facility needsDevelop and maintain effective working relationships with coaches and support staff, university maintenance and grounds, housekeeping, campus groups, vendors and contractors, and other Vanderbilt Athletics departmentsFill in for Associate Athletic Director of Facilities & Event Management as neededResponsible for assisting with NCAA, NIT, SEC, etc. events hosted by Vanderbilt University as assignedEnsure compliance with NCAA and conference rules and regulationsPerform other duties requested by the Associate Athletic Director, Facilities & Event ManagementQualificationsA Bachelors degree from an accredited institution of higher education is necessary.Prior experience in Facility Management and Athletics Event Management is preferred.Analytical, evaluative, and critical thinking skills are preferred.Skill in organizing resources and establishing priorities is preferred.Computer skills, to include word processing and database management are preferred.Ability to assess and develop procurement specifications and coordinate purchasing activities in area of specialty is preferred.Ability to manage and coordinate multiple projects simultaneously is preferred.Knowledge of budgeting and fiscal management principles and procedures is preferred. #VUCLOPandoLogic.
