Read on to fully understand what this job requires in terms of skills and experience If you are a good match, make an application.Title: Assistant to the Chief of Staff, VPOE and HRDepartment: Presidents Office/VPOE/Human ResourcesSupervisor: Chief of StaffRevision Date: 01/11/2024Location: Academic Technical CenterApproved by: PresidentPosition Summary:The Assistant to the Chief of Staff, the Vice President of Organizational Development, and Human Resources is responsible for confidential functions in the COS, VPOE and HR offices, including tasks such as maintenance of confidential files, correspondence, scheduling/reporting, and involvement in special projects. This position requires considerable initiative, judgment, decision making within the scope of assigned authority, discretion, and knowledge of College organization, policy, and procedures. This part-time position requires considerable ability, including typing, filing, composition of correspondence, and a thorough knowledge of office procedures. The individual must possess and project the qualities of congeniality, respect, efficiency, and professionalism in dealing with the public, administration, faculty, staff, and students.Specific Responsibilities:Provide confidential clerical support to the Chief of Staff, the VP of Organizational Effectiveness and the Director of Human Resources.Assist the COS with creation of the monthly Board of Trustees meeting agenda.Assist the COS with creation of the Foundation Board meeting agenda's and act as the recording secretary at all Foundation meetings.Maintain accurate Foundation files, including mailing lists, donor files and thank-you letters.As needed, schedule and coordinate meetings for the COS, the VPOE and various teams.Prepare, process, and maintain financial records such as expense reimbursements and purchase requisitions.Work with administrators, faculty, staff, and the public on a daily basis and on special projects as needed.Present a professional image of the office and position to internal and external constituencies.Assist the COS with various tasks in institutional advancement.In the absence of the COS, act as recording secretary for Board of Trustee meetings.Maintain the Institutional Advancement database.Other duties as assigned.Physical Requirements:F for Frequent (6+ hours daily), M for Moderate (4-6 hours daily), O for Occasional (2-4 hours daily) or R for Rarely(>2 hours daily).F - Stand or SitR - Stoop/Kneel/CrawlR - Carry/Weight LiftR - WalkF - Talk/HearR - Exposure to Outside EnvironmentF - Use of Fingers/HandsF - SeeR - Able to lift 25 poundsR - ClimbR - Taste/SmellR - Exposure to Hazardous MaterialsPosition Requirements:Associate Degree in an area related to duties of position; orFour years of related experience; orAny equivalent combination of experience and education that provides the required knowledge, skills, and abilities to perform the assigned duties.This job description is subject to change at any time and nothing in this job description restricts the college's right to assign or reassign duties and responsibilities.
