Individual initiative, good judgement, attention to detail and customer service skills are necessary for the responsibilities assigned. This position requires accuracy, efficiency, flexibility, creativity, and the ability to serve multiple stakeholders, while working within UW regulations.The Information Systems & Web Support Specialist reports to the RMS & Information Systems Manager and is responsible for daily functioning of the GME website and residency management system (RMS). The GME website consists of 100+ subpages and forms dedicated to educating and providing resources for stakeholders across UW School of Medicine and the GME community. The position will work closely with subject matter experts to maintain webpages and process change requests. This role will also serve as first-level support for internal and external use of RMS, including day-to-day functional management, training, and troubleshooting. The RMS serves as the onboarding, time entry, and billing tool for 120+ GME clinical training programs and their trainees.DUTIES AND RESPONSIBILITIESRMS Management - 55%Serve as the primary point of contact for program directors and administrators of 120+ clinical training programs to identify and troubleshoot complex functional issues, recommend and assist programs in implementing best practices, and assess program use-cases to develop opportunities for optimization.Serve as lead for new program leadership orientation/training, developing unique training session plans to address varied user comfort levels and needs.As needed, partner with RMS vendor helpdesk to ensure follow up and successful resolution of unresolved program administrator and program director tickets.Manage RMS user profiles for community members including discretion over access levels and appropriateness of requests.Implement annual RMS user audit to ensure proper compliance with University of Washington mandated Internal Audit requirements including risk management and privacy.Attend bi-weekly meetings with RMS Customer Success Manager.Additional projects and responsibilities as identified.Website Management - 45%Serves as primary administrator of the GME website and all 100+ associated webpages and forms.Implements all web requests, including but not limited to content updates, new page activations, event updates, and new form requests, following standard completion timelines. Reviews requests for grammar and clarity, link functionality, and appropriateness of content location, making recommendations and changes as applicable.Audit and implement site-wide accessibility updates to maintain compliance with ADA Title II requirements.Monitor website performance, troubleshoot issues, and implement solutions to optimize user experience.Analyze site statistics and identify opportunities for improvement. Make strategic recommendations and implement changes in partnership with GME Office users to enhance site functionality and drive GME web strategy.Additional projects and responsibilities as identified.MINIMUM REQUIREMENTSBachelor's degree in Business, Information Systems, Web Design, or related fields.Two years of experience in a systems administration or web management position.Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.ADDITIONAL REQUIREMENTSStrong customer service skills and ability to communicate clearly and effectively with multiple stakeholders.Basic to intermediate literacy in web design, UX principles, and a basic familiarity with Wordpress or equivalent CMS.Basic understanding of CSS, HTML, or similar.Proven analytical, organizational, and problem-solving skills with demonstrated attention to detail.Demonstrated ability to work both independently and collaboratively, and to establish positive working relationships.Demonstrated ability to prioritize and organize work as needed, manage competing priorities, and accurately complete highly detailed and time sensitive work.Excellent oral and written communication skills.DESIRED QUALIFICATIONSPrior experience working in higher education and/or academic medicine.Application Process: The application process may include completion of a variety of online assessments to obtain additional information that will be used in the evaluation process.
