Requirement: US Courts - FPO Executive Assistant Job Description: Forge is seeking a Consultant to support the Administrative Office of the US Courts (AOUSC) in the Finance and Procurement Office (FPO) as an administrative assistant with experience working in an office environment, performing administrative duties, and supporting executive and senior-level managers. Key Responsibilities: General Scope: Business analyst support includes drafting, reviewing, proofreading, solving problems, oral/written organizational communication, editing correspondence and documents, paying attention to details, coordinating meetings, and providing logistical support. The analyst must be flexible and consistent while maintaining the confidentiality of high-level systems and operations. Managing FPO Division Chief and FPO Deputy Division Chief scheduling, including agendas, meeting materials, mail, email, phone calls, client management, and other office logistics. Coordinating and maintaining the calendar of the FPO Division Chief and FPO Deputy Division Chief, as well as the content and flow of their information. Draft, review, proofread, and coordinate the FPO Memorandum of Understanding and other official documents and correspondences to be routed through the management chain of authority. Maintain a log and track all documentation created in the FPO. Coordinate with executives both within and outside of the FPO on the completion of a variety of tasks and projects. Tracking the status of assigned tasks and providing regular status updates ensures that deadlines are met in a timely manner. Assisting with time and attendance administration and managing the FPO personnel status calendar. Coordinating the management of FPO records and digital storage (e.g., shared drives). Organizing team communications, providing meeting agendas and meeting minutes in FPO management meetings and executive briefings. Providing administrative support to FPO, hosting working groups, advisory council, and other stakeholder meetings, including assembling and distributing reading materials and invitations. Providing on-site logistical support for meetings hosted by FPO, including set-up, audio-visual and technology support, meal coordination, and close-out activities. Support FPO event planning with multiple working groups, including: FPO Advisory Council, Financial Management Working Group, and Risk and Financial Management Advisory Council. Perform other duties as assigned. Qualifications/Requirements: The Candidate must have the ability to think strategically, act tactically, and display strong analytical and critical thinking skills. They must also build strong cross-group working relationships and demonstrate exceptional organizational skills and attention to detail. The Candidate must be able to thrive and succeed in an entrepreneurial environment and not be hindered by ambiguity or competing priorities. Minimum Qualifications: US Citizen Five (5) years of experience in or directly related to the line of work of this position. Knowledge of Microsoft Office products such as Word, Excel, SharePoint, Project, and PowerPoint. Job: F/T; This is contingent upon contract award and funding approval. Location: Washington, D.C.
