DEPARTMENT: Physical Plant REPORTS TO: Executive Director of Operations PRIMARY PURPOSE/ POSITION SUMMARY: The Physical Plant and Campus Security Specialist is responsible for performing management support activities that will ensure the smooth and efficient operations functions of the University, including the Physical Plant and Campus Security Offices. This position regularly exercises independent judgment and discretion while efficiently and effectively accomplishing complex and multi-layered tasks in support of the operations functions for Dominican University. Functions include vendor management, purchasing, scheduling, budget reporting, and support of the Executive Director of Operations, as well as the operational offices of Construction Management, Campus Safety, Maintenance, Grounds, and Auxiliary services, as well as interaction with municipal government offices, the business office, and the human resource office at Dominican University. Phone calls and consistent communication (both internal and external) are a daily requirement of this position. DUTIES AND RESPONSIBILITIES: Support improve operations, decrease turnaround times, streamline work processes, and work cooperatively with staff to provide quality services to the University's employees, students, and patrons.Maintains confidentiality and unquestionable integrity.Prioritize multiple tasks, work effectively toward completion of assigned tasks, meet short deadlines, and take direction.Produce accurate work with frequent interruptions.Completes special projects as assigned.Coordinates and maintains schedules, records, and other organizational tasks for the department.Gives and receives information requiring independent judgment or discretion regarding specific business of the University by telephone or direct personal contact on behalf of the department.Handles requests for general information, complaints, and inquiries regarding department / University policies and procedures to ensure efficient operations.Accurately prepares departmental reports from raw data, which includes generating charts and graphs on the computer.Creates, copies, and distributes reports in a timely manner to ensure accurate information is distributed appropriately with direction and independently.Oversees budgets/billing/invoices for the department.Orders supplies as needed through various vendors.Oversees Annual Operating Budget.Interpret a variety of instructions furnished in written, oral, diagram, or schedule form consistent with the duties of this position.Read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals consistent with the duties of this position.Write routine reports consistent with the duties of this position.Present information and respond to questions from administrators, staff, and the general public that are consistent with the duties of this position.Other duties as required and/or assigned by supervisor.
