It plays an important role in international affairs through diplomacy, trade, development aid and working with global organizations. Abroad, the EU is represented through more than 140 diplomatic representations, known also as EU Delegations, which have a similar function to those of an embassy.The EU Delegation to the United States of America in Washington, DC works in close coordination with the Embassies and Consulates of the 27 EU Member States. We are a fully-fledged diplomatic mission and represent the European Union in dealings with the U.S. government in areas that are part of the EU's remit.We offerWe are looking for an enthusiastic and service-minded candidate to fill the post of Infrastructure Support Assistant (Local Agent Group IV) in the Delegation's Administration Section. The team consists of 21 people. The Administrative Assistant will be under the supervision and responsibility of the Head of Administration (HoA), and will be assigned the following main tasks and duties:Coordinating drivers' schedules, overtime and leave;Oversight of official vehicle fleet, including gas consumption, cleaning, maintenance, drivers' uniforms, lease management, parking etc.;Administrative logistics of (high level) visits;Initiation of very low, low and middle value transport and infrastructure procurement procedures; coordination of stationery supplies and related procedures;Assistance in daily follow-up of building maintenance and repairs, e.g. escorting contractors;Back-up for Receptionist, infrastructure and procurement colleagues as needed.To ensure the proper functioning of the Delegation, this job function may be changed in accordance with the needs of the Delegation.We offer a collegial atmosphere in an international environment working in close coordination with the Administration team in supporting colleagues across the EU Delegation. The salary range is dependent on relevant and verified employment experience, starting from $50K (2 years of experience), $54K (5 years' experience), $57K (8 years' experience) etc.There is a competitive benefits package including personal leave days and public holidays, flexible working hours, health and dental insurance and a retirement savings plan.The anticipated start date will be 1 November/December 2024.Minimum RequirementsMinimum of High/Secondary school diploma or equivalent; a Bachelor's degree an advantage;Minimum of 2 years' relevant experience in administration in an office setting;Excellent communication and interpersonal skills; ability to work autonomously and as part of a team in synergy with the rest of the INFRA cell and Administration staff;Excellent organizational skills, ability to multi-task and prioritize and flexibility with regard to working hours;Ability to work calmly under pressure and use own judgment and initiative; sense of responsibility, and motivation;Must be professional, discreet, and able to safeguard confidential matters discussed by others during performance of duties;Ability to deal with a varied range of people and working in a multicultural office, as part of an international team;Excellent knowledge of IT tools (MS Office and web based apps; familiarity with online platforms (Webex, Zoom) would be an asset;Excellent spoken and written command of the English language, knowledge of other European languages would be an advantage;Experience of working in an EU or international organization, a diplomatic mission, a multicultural environment or familiarity with the European Union would be an asset.How to applyIt is important to note that the Delegation of the European Union to the United States of America does not sponsor visas for Local Agents. During this phase, the Selection Panel will assess the suitability of the candidates for the post.
