Position Title: Conference Manager In order to make an application, simply read through the following job description and make sure to attach relevant documents.Status: Full-time, Exempt status Reports to: Chief Strategic Operations Officer Department: Office of Scientific Meetings and Conferences Date: October 8th, 2024 Location: Rockville, Maryland (To be considered, applicants should live in the D.C. metro area) Founded in 1912, the Federation of American Societies for Experimental Biology (FASEB) is the nation's largest coalition of biomedical researchers, representing 22 scientific societies and over 110,000 individual researchers from around the world. FASEB is now recognized as the voice of advocacy for biological and biomedical research scientists. Primary Function Manages assigned FASEB's in-person and online conferences, a portfolio of 100+ in-person and virtual conferences spread across two-year periods; conference attendance ranges from 100-300 attendees; is responsible for the planning, execution, and reconciliation of conferences to include budgeting, event logistics, program, website, etc. Collaborates closely with internal and external stakeholders to ensure the success of each conference. Skills & Qualifications Bachelor's Degree preferred or equivalent combination of education and experience 4 or more years of meeting planning experience CMP, CMM certification required Contract negotiation, project planning, and budgeting experience required Strong verbal and written communication, proofreading and English grammar skills required Strong organizational, attention to detail, interpersonal, multi-tasking, customer service skills required Must be diplomatic since you will be working with organizers outside of the organization MS Office Suite, Adobe, Cvent, Zoom and conference Application Management Must be able to retain composure in stressful situations and think on your feet in unexpected situations Must be able to meet deadlines This position requires sitting (80%), standing (5%), and walking (15%). Additional physical requirements are as follows: Occasionally requires lifting materials of approximately 20-30 lbs. Requires computer work involving extensive use of keyboard, mouse and monitor. Working long hours sitting, standing, walking onsite at conferences. Work Environment/Conditions: Dayshift hours primarily. Travel (up to 20-25%) and other work-related assignments after hours or on weekends are expected intermittently. This is a demanding position requiring the ability to multi-task for multiple stakeholders; constantly shifting priorities based on stakeholder/event needs and changes; motivating and prompting teams to follow through with timely delivery of projects; adhering to timelines and meeting project deadlines. Ability to maintain project deadlines under various working environments when traveling is expected. Location This position is in Rockville, Maryland, and is walking distance to the Metro and on major bus lines. Currently, FASEB has a remote-first policy in place, and while our office is open, many staff are working remotely, but work from the office when required.
