Under the supervision of the Admissions & Enrollment Manager, the Admissions Intake Specialist is responsible for executing ERSEA requirements. This includes maximizing parent access by recruiting families into the Early Education program and ensuring they meet the eligibility and selection criteria prior to being enrolled. The position requires a working knowledge of relevant community resources, a compassionate approach to working with children and families, and the ability to effectively interface with families of diverse backgrounds.Have you got the right qualifications and skills for this job Find out below, and hit apply to be considered.ESSENTIAL FUNCTIONS / RESPONSIBILITIESCustomer ServiceProvide exceptional customer service.Always represent the Company in a professional manner.Establish respectful, trusting, supportive, and professional relationships with families and staff.Manage the main phone line to assist families with questions on applying for early care services and guide them through the application process.Maintain confidentiality of all child and family records, organize documentation, and complete eligibility family case notes according to procedures.Primary FunctionsBe knowledgeable and explain to families and community programs about infant, toddler, and preschool services, including school readiness preparation.Understand, interpret, and explain Federal, State, and City regulations regarding eligibility criteria and enrollment, and ERSEA policies and procedures.Ensure compliance with income guidelines and that at least 10% of those served are children with disabilities.Conduct intake screenings and interviews with families to verify eligibility according to Head Start/Early Head Start Federal Guidelines.Process applications accurately and timely, ensuring compliance with enrollment criteria.Self-monitor completed intakes for accuracy.RecruitmentWork with Early Learning Scholarships Representatives to provide information about vacancies and follow up with potential clients.Participate in developing the annual ERSEA Recruitment Plan and Calendar of Activities.Engage in community outreach and recruitment efforts.Participate in agency-sponsored community resource fairs and recruitment events.Collaborate with the Admissions and Enrollment Manager on recruitment strategies.Monitor the waiting list for all HS/EHS sites to facilitate filling vacancies.ReportingGenerate reports pertaining to ERSEA eligibility and enrollment on a monthly basis.Data EntryEnter intake applications in the Child Plus database accurately.Maintain tracking spreadsheets and compliance.Monitor and maintain daily inventory activity on enrollments and transfers.Contribute to the Program and complete other duties as assigned:Work closely with the Admissions and Enrollment Manager on administrative tasks.Travel to centers for training and monitoring.Participate in scheduled staff meetings and trainings.Maintain a supply of ERSEA forms.Assist in creating and developing ERSEA systems for improved efficiency.SafetyMaintain personal safety and follow Company policies.Report safety issues, accidents, or injuries to your manager.Effective Team MemberInteract positively with team members.Facilitate positive change.Share responsibilities to deliver quality services.POSITION QUALIFICATION REQUIREMENTSEducation: Bachelor's Degree (BA/BS) or higher in a related Human Services field.Experience: 3+ years' experience or equivalent combination of education and experience.Requirements:Current Physical Health Screening.Current Immunizations (TB, Influenza, MMR, Pertussis).Covid-19 Full Vaccination Proof.Clearance Child Abuse Index.Current CPR & First Aid Certificate.Valid State of California Driver's License.Must attend required trainings.Skills and Abilities:Excellent customer service skills and professional attitude.Able to multi-task and prioritize tasks.Strong written and verbal communication skills.Ability to remain tactful under pressure.Software: Proficiency in Microsoft Office applications.Decision Making: Set priorities and develop plans for work accomplishment.Tools and Equipment: General office equipment.Confidential and Sensitive Information: Maintain confidentiality when dealing with client records.Physical DemandsRequires sitting approximately 80% of the time, walking 10%, and standing 10%.
