About The Role:A high number of candidates may make applications for this position, so make sure to send your CV and application through as soon as possible.We are searching for a professional, polished Executive Assistant to support our Chief Machine Learning (ML) Officer.You will not only be their right-hand partner but will play an integral role inside their organizations as you will have a high amount of visibility into their day-to-day and work cross-functionally across the company. You will own all administrative, logistical, and project-related tasks to support our Chief ML Officer and the organization.We are looking for a confident high-performing EA who is a great communicator, highly resourceful and proactive, and has a take-charge mindset. This person will thrive in a hyper-growth, multi-cultural environment. This individual must be able to juggle fast-changing priorities, all the while incorporating the highest degree of integrity, discretion, professionalism, and a can-do attitude.Our ideal candidate would be located in Silicon Valley, CA, and could work out of our Redwood City headquarters, being co-located with the Chief ML Officer. Our comfortable modern HQ is within walking distance from Cal-train and nearby restaurants. Moloco has free garage parking and is stocked with amenities, including morning and lunch meals.Responsibilities:Provide high-level administrative support for the Chief ML Officer and team-level supportManage and maintain sensitive and complex calendars of in-person, video, and external meetings across multiple global time zones; while working closely with senior leaders and the other EAs within the companyManage and execute the team meetings: logistics, prepare presentations for All Hands, and proactively prepare the Chief ML staff meeting agendas and follow up with the relevant action itemsCoordinate logistics for the ML organization on-sites/off-sites, ad hoc events, and leadership meetings within budget. Ideally, attend in person and oversee logistics when relevantCoordinate flawless extensive international and domestic travelProvide general administrative support, such as email, international currency expense reporting, team drive, and contact database managementPartner internally and externally on arranging a multitude of meetings with key stakeholders. Ensure stakeholders are advised of deadlinesCapture and distribute notes and action items from team meetings. Follow up on deliverables and OKRs as neededCreate efficient workflows and processes to help maximize your executives' timePotential additional support of calendar, expense, and travel management for other senior ML team membersContribute to team culture with birthday and work-anniversary recognitionQualifications:Experience supporting C-level/SVP executives, ideally at high-growth technology companiesFamiliarity with standard corporate technology such as Google Workspace, Slack, Navan, etc., and the ability to learn new applications quickly, as neededExperience successfully navigating the challenges of working within a multi-timezone, international environmentAbility to anticipate needs, and complete a high volume of tasks while working independently with discretionExperience with meeting planning and executionStrong communication skills and the ability to communicate at all levels of the organization with respect, clarity, and humilityExcellent interpersonal skills; experience working cross-functionally, building trust with operational partners, and optimizing communication channels and workflowsBe located in Silicon Valley, CA - commutable to Redwood City#J-18808-Ljbffr
