Documentation Specialist

Employment Type: Temp to PermPay Range: $21.00 - $24.00 per hourLocation: Linden, NJ (Onsite 100%)Schedule: Monday - Friday |9 am-5:30 pm ESTPosition OverviewThe Documentation Specialist is responsible for supporting the export documentation process while ensuring seamless communication between customers, carriers, and internal teams. This role requires strong attention to detail, excellent customer service skills, and the ability to manage multiple tasks efficiently in a fast-paced logistics environment.Key ResponsibilitiesCustomer Support: Provide responsive and professional customer service regarding documentation inquiries and shipment details.Payment Coordination: Track and follow up on payments from cash account customers, ensuring timely receipt of funds.Billing and Invoicing: Add release fees to bills of lading (BLs), generate invoices, and send payment reminders.Shipping Documentation Processing: Prepare, verify, and distribute essential shipping documents such as bills of lading (HBLs), certificates of origin, and other required paperwork.Data Entry & Record Keeping: Maintain accurate and organized records of shipments, payments, and customer interactions.Problem Resolution: Identify and address any discrepancies, missing information, or delays related to documentation or payments.Process Improvement: Suggest and implement efficiency improvements in documentation and billing processes.Team Collaboration: Work closely with sales, operations, and finance teams to ensure a smooth and accurate flow of documentation and payments.Qualifications & RequirementsEducation: High school diploma required; Associate degree preferred.Experience: Previous customer service or documentation experience in logistics, freight forwarding, or a related field is a plus.Skills:Ability to multi-task, prioritize, and meet deadlines in a fast-paced environment.Strong written and verbal communication skills.Proficiency in Microsoft Office Suite (Excel, Word, Outlook).Detail-oriented with strong problem-solving skills.Excellent teamwork and interpersonal skills.Why Join Us?This is an opportunity to be part of a dynamic and growing logistics environment where attention to detail and efficiency are highly valued.
