The Executive Administrative Assistant will be experienced in handling a wide range of administrative and support-related tasks and will be able to work independently with little or no supervision. This person must beexceedingly well organized. The role will provide leadership and demonstrate effective oral and written communication across business functional areas.ESSENTIAL RESPONSIBILITIES: Carries out administrative duties such as filing, typing, copying, binding, scanning, and greeting visitors. Establish and maintain relationships and have exceptional communication skills at all levels of the organization. Maintain comprehensive and accurate records which include phone messages. Manage calendars including making appointments and prioritizing schedules. Must have the ability to schedule travel which includes scheduling flights, hotel stays, and car service. Respond to calls as needed and will be responsible for sending communications when requested. Must be able to provide administrative assistance to an executive with a hectic schedule. Arrange conflicting needs; handle issues expeditiously, and proactively, and follow through on projects to successful completion, often with deadline pressures. Collect and distribute the mail to all associates in the office. Maintain inventory and was responsible for ordering office supplies. REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES: Bachelor's degree or some college preferred. Minimum of 5 years experience as an administrative assistant. Should be comfortable with SharePoint, Microsoft Office 365, and multi-line phones. Excellent command of writing, grammar, and punctuation. Exhibit tact, discretion, and ability to handle highly confidential matters with tact and diplomacy a must. Action-oriented and enjoys working hard; is goal-oriented, energetic, and willing to take on challenging assignments; seizes personal development opportunities. Experience with art handling is a plus. Dedicated to meeting the expectations and requirements of internal and external customers; acts with customers in mind and can adapt to various personality types; establishes and maintains effective relationships with customers and gains their trust and respect. Can marshal resources (people, material, and support) to get things done; can orchestrate multiple activities at once to accomplish a goal; uses resources effectively and efficiently; arranges information and files it in a useful manner. Ability to respond quickly to problems; ability to work in a stressful environment.
