We are currently looking for an experienced, highly organized, and detail-oriented Office Manager to join our team. This is a pivotal role that will not only oversee daily office operations but also support our accounting department by assisting the Controller with financial tasks.Job Description: As the Office Manager, you will be responsible for managing the daily operations of the office and supporting both administrative functions and accounting processes. Your role will involve overseeing office workflows, assisting the Controller with accounting and bookkeeping, and ensuring the smooth functioning of our fire safety operations. You will be a key player in maintaining the efficiency of the office, ensuring accurate financial records, and supporting company-wide operations.Key Responsibilities:Office Management:Oversee daily office operations, including scheduling, organizing meetings, and maintaining office supplies.Serve as the primary point of contact for clients, vendors, and employees, handling phone calls, emails, and office correspondence.Coordinate employee schedules, including time-off requests and meetings.Assist with onboarding and maintaining employee records.Implement office systems and procedures to improve workflow and ensure efficiency.Accounting Support:Assist the Controller with accounting tasks, including accounts payable, accounts receivable, and invoice processing.Track and reconcile company expenses, ensuring accuracy in financial records.Assist in the preparation of monthly and quarterly financial reports.Manage company credit card expenses and ensure timely payment of bills.Maintain accurate records of transactions and ensure proper documentation for audits.Assist with payroll processing and employee benefits pliance and Reporting:Maintain compliance with relevant industry regulations, ensuring proper documentation and reporting are in place for audits.Work with the Controller to ensure accurate and timely submission of tax documents, filings, and regulatory compliance.Assist in preparing annual budgets and financial forecasts.General Administrative Support:Provide support to other departments, including project management and field teams, ensuring they have the necessary resources and documentation.Help with the preparation of marketing materials, customer proposals, and other administrative tasks as needed.Qualifications:Previous experience in office management or a similar administrative role, with a strong understanding of accounting principles.Experience assisting with financial tasks, such as invoicing, accounts payablereceivable, and reconciliations.Strong proficiency in Microsoft Office Suite, especially Excel, and accounting software (QuickBooks or similar).Excellent organizational, multitasking, and time-management skills.Strong attention to detail and accuracy, especially in financial documentation.Strong communication skills, both written and verbal.Ability to work independently and as part of a team.Knowledge of fire safety industry regulations and standards is a plus but not required.High school diploma or equivalent; associate's or bachelor's degree in accounting, business, or a related field is preferred.Benefits:Competitive salary and benefits package.Health, dental, and vision insurance.Paid time off and holidays.Opportunities for professional development and career advancement.A collaborative and supportive work environment.Apply now or contact for a confidential conversation about this or other positions.This should cover all aspects of the job, including both office management and accounting support.
