Explore current career openings at SVP Worldwide locations around the world, right here and now.The Executive Administrative Assistant Office Manager will provide high-level support to the CEO and executive team, managing calendars, meetings, travel, and communications. This role also assists with key office operations to ensure a smooth and efficient environment, aligning office needs with the priorities of the leadership team. Job Responsibilities:Administrative Support: Provide direct administrative support to the CEO and the executive leadership team (ELT), managing complex calendars, scheduling meetings, organizing travel logistics, and handling expense reports.Act as a central point of contact between the CEO, ELT, staff, and external parties, ensuring clear and efficient communication.Actively participate in organizing and executing onsite team meetings (including preparing agendas, taking notes, and distributing follow-ups).Handle high-volume correspondence including emails, phone calls, and mail, prioritizing items for the CEO and ELT.Oversee executive travel arrangements, domestic and abroad, including coordinating travel schedules between company offices and booking accommodations.Process executive and office-related expense reports, ensuring timely submission and proper tracking of financial records.Prepare and edit high-level documents, presentations, and reports for the executive team, ensuring accuracy and professionalism in all communications.Office Organization and Management: Oversee the office's daily operations to ensure seamless workflow and support the needs of the executive team.Serve as the primary onsite point of contact for executive visitors, delivering a friendly, personal experience while addressing questions or requests related to office operations. Maintain a clean, organized, and efficient work environment, proactively identifying opportunities for process improvements to support the CEO and the executive team's productivity.Coordinate with the IT team to troubleshoot and maintain office technology and ensure proper setup for meetings and other executive-related technical needs.Assist with new L1 employee orientation, providing support for office policies and onboarding procedures.Respond promptly to office emergencies and troubleshoot issues as they arise, ensuring minimal disruption to the executive team's workflow.Foster a collaborative work environment, promoting teamwork and efficiency across the officeManage office equipment, supplies, furniture, and kitchen inventory, ensuring that the office is fully stocked and functioning to support the team's requirements.Other duties as assignedEvent Planning and Coordination: Serve as the primary point of contact for all events, meetings, and conferences involving the CEO and ELT, both onsite and offsite.Coordinate event logistics, including vendor management, contract negotiations, and processing payments, ensuring seamless execution of events.Manage travel and logistical arrangements for the executive team's participation in on-site and off-site events, including conferences and team anize daily lunch arrangements for the executive team and coordinate team meeting catering needs.Support the ELT with office events, and team-building activities, ensuring smooth participation and coordination for all executive-level initiativesWe Offer You: Full benefits package; medical, dental, vision401k plan Competitive PTO accrual as well as additional wellness days Hybrid work schedule Work environment that harbors a culture of collaboration and community Learning and development opportunitiesYou Bring:Bachelor's degree in Business Administration, Office Management, or related field preferred5+ years of proven experience in office management andor administrative rolesProficiency in Microsoft Office Suite (Excel, Word, Outlook) and strong experience scheduling with tools such as Teams, Zoom, and other meeting ternational and domestic travel reservation systems experience, including travel Visa submissions and Passport control requirements Exceptional organizational and multitasking skills with a strong attention to detailExcellent communication and interpersonal abilitiesAbility to work independently, prioritize tasks, and manage time effectivelyStrong people skills with a high degree of flexibilityAbility to be on site Tuesday, Wednesday and Thursday each week Good attendance and punctualityAbility to maintain confidentiality of company informationPrevious experience at a Corporate Headquarters preferredYou will need to be able to complete all physical requirements of the job with or without a reasonable accommodation, including: Move about inside the office to access file cabinets, meeting rooms, copierprinter etc as well as have the ability to remain in a stationary position 50% of the timeCommunicate effectively with customers through multiple forms of technology, including telephone and computer.
