For more information about AbbVie, please visit us at Follow @abbvie on X, Facebook, Instagram, YouTube, LinkedIn and Tik Tok.Job DescriptionThe Executive Recruiting Coordinator is directly responsible for the day-to-day communications and logistical support for recruiters, hiring managers, and applicants for VP level hiring at AbbVie.Key Responsibilities Include:Coordinate interview schedules and schedule change requestsKeep hiring teams informed of interview schedule request status, confirmation of receipt of schedule request, and weekly interview request updatesUse of multiple databases andor tracking systems to provide information, metrics & reports (SmartRecruiters (ATS), Background Screening, Travel)Arrange all candidate domestic and international travel, accommodations, etc.Process all expense reimbursement and invoices on a weekly basisProcess background and drug screen requests and provide updates on status of requestsProcesses special forms for approval (Relocation, Sign on Bonus, and other employment forms)Update SmartRecruiters ATS with candidate status and interview dataProvide high touch customer service to candidates, hiring managers, and administrative staffEnsure a best in class candidatemanager experienceAbility to work with and safeguard confidential informationResponsible for compliance with applicable Corporate and Divisional Policies and proceduresPrioritizes work assignments and completes them on timeNegotiates to adjust deadlines as neededMaintains workflow efficiency, smooth workflow operation, and high quality standardsPartner with Executive Administrative Assistants, building relationships and being a trusted partnerQualificationsBachelor's Degree highly preferredA minimum of 2 year administrative or customer support data entrycoordination experience preferredExperience working with Applicant Tracking Systems, Microsoft Outlook, Candidate travel site, Microsoft Word and Microsoft Excel preferredPrior staffing coordination or HR experience preferredKey Competencies:Learns, fast, grasps the 'essence' and can change the course quickly where indicatedExcellent customer service skills, including: phone etiquette, attention to detail & follow-up, communications skills (verbal, written and phone)Additional InformationAbbVie is an equal opportunity employer and is committed to operating with integrity, driving innovation, transforming lives, serving our community and embracing diversity and inclusion.
