The Executive Assistant provides critical support to enable senior management to most effectively advance company initiatives and goals. The ideal candidate must have excellent time management skills and the ability to identify and anticipate executives' needs. This position interacts seamlessly with a broad range of individuals including members of the executive team, Board of Directors, industry leaders and others. This individual will handle highly sensitive and confidential information and exercise professionalism and discretion at all times.Primary Duties & Responsibilities:Manage the calendar, including making appointments and prioritizing the most important mattersOrganize meetings, including scheduling, sending reminders, and organizing catering when necessaryAssist with communications, including e-mails, memos, and announcementsCoordinate travel arrangements and transportationReview expenditures and prepare expense reportsMaintain comprehensive and accurate records and filesBe organized and knowledgeable on details and company prioritiesDeliver results with strong emphasis on quality and timelinessMinimum Qualifications and Experience:Bachelor's degree10+ years' experience as a C-level Executive Assistant Strong experience in Microsoft Word, PowerPoint, Excel, Outlook and TeamsExcellent communication, collaboration, presentation, and interpersonal skillsExcellent time management and multitasking skillsStrong process orientation and documentation abilitiesResourceful, proactive and detail orientedAbility to work in a fast-paced, demanding environmentPhysical requirementsWork Environment:This position is full time on site, located in Irvine, CA. This position primarily works in an office. It requires frequent sitting, standing and walking. This position requires sitting for long periods of time in front of a computer display or other digital devices. Daily use of a computer and other computing and digital devices is required. May require standing for extended periods when facilitating meetings, walking in the facilities. Some travel may be required so the ability to operate a motor vehicle and maintain a valid Driver's license is required.The physical demands of the position described herein are essential functions of the job and employees must be able to successfully perform these tasks for extended periods.
