A growing and successful non-profit organization in Deerfield is seeking a temporary-to-hire Executive Assistant. The Executive Assistant (EA) will play a key role in supporting the Executive DirectorCEO by managing their schedule, correspondence, and administrative tasks. The EA will help ensure smooth and efficient day-to-day operations and will be involved in a wide range of organizational activities, from managing executive communications to coordinating meetings and events. The ideal candidate is proactive, organized, and committed to supporting the nonprofit's mission and values.Key Responsibilities:Executive Support:Manage and maintain the Executive Director's calendar, including scheduling meetings, conferences, and travel.Screen and prioritize incoming calls, emails, and mail.Prepare and organize materials for meetings, presentations, and reports.Handle confidential and sensitive information with discretion.Coordinate the flow of information between the Executive Director and staff, board members, and external stakeholders.Administrative Assistance:Assist with the preparation of internal and external communications, including drafting letters, emails, and documents.Manage filing systems, including electronic records and paper files.Coordinate logistics for events, meetings, and retreats.Handle office supplies and ensure the office is well-organized.Board and Committee Support:Assist with scheduling board meetings, committee meetings, and other organizational events.Help prepare board packets and ensure follow-up on action items.Take and distribute minutes for meetings as required.Ensure proper communication between the board, executive team, and staff.Qualifications:Bachelor's degree or equivalent experience preferred.Experience working in nonprofit settings is a plus.3+ years of experience in an executive support role, preferably in a nonprofit environment.Proven ability to manage multiple tasks and prioritize effectively.Strong experience with office management and administrative systems.Excellent written and verbal communication skills.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook and Google suite is a plus.Experience with nonprofit software or CRM systems (e.g., Salesforce, DonorPerfect) is a plus.Strong attention to detail and organizational skills.Strong interpersonal skills and a passion for the organization's missionBeacon Hill is an equal opportunity employer and individuals with disabilities andor protected veterans are encouraged to apply.California residents: Qualified applications with arrest or conviction records will be considered for employment in accordance with the Los Angeles County Fair Chance Ordinance for Employers and the California Fair Chance Act.If you would like to complete our voluntary self-identification form, please click here or copy and paste the following link into an open window in your browser: of this form is voluntary and will not affect your opportunity for employment, or the terms or conditions of your employment.
