This is an on-site role 5 days a week. This is a temp assignment for 2-3 months.General AdministrationAssist C-Suite with various requests and projects including meetings, events, and communications and budgetsBuzzing guests into office, signing guests in and giving guests a guest badgeAccept all incoming deliveries and notify recipients; retrieve, sort, screen, prioritize, and distribute incoming mail, UPS & FedEx packages to the appropriate party; post and process outgoing mail and packages; and re-address undeliverable mailPrimary phone and front desk coverageOther duties as assignedOffice SuppliesResponsible for managing all aspects of office supplies. This includes, but is not limited to, tracking inventory, ordering, and stockingAll kitchen & break room suppliesMarketing materials: business cards, letterhead, covers, binding supplies, etcShipping supplies: UPS & USPSSpecial requests as neededOffice EquipmentWork OrdersMorning or night fill 3 printers with paperMonitor and maintain overall facility appearance and assist with building-related work orders, including janitorial requestsCoordinate vendor repairs (coffee makers, lighting, appliances, vending, and water machines)Oversee external vendors providing office services such as shredding and storage, repair to appliances, cleaning etc.Conference RoomsPerform multiple daily inspections of 2 conference rooms to ensure they are properly set prior to meetingsTables are clean and free of any miscellaneous itemsAll chairs are pushed back in order and in line with tablesMarkers are stocked in each room with whiteboardsCoordinate to reserve conference roomsCoordinate additional cleaning as neededHR Administration HospitalityAssemble employee welcome baskets, clean desks, and set up cubicles in coordination with the HR ManagerOrderremove employee nameplates and office name decalsCoordinate building accessAssist in scheduling interviews and processing AP payments as neededREQUIRED SKILLS, EDUCATION AND EXPERIENCE1+ years of real estate propertyfacility management or related experience, or any similar combination of education and experienceProficiency with Microsoft Office (Outlook, Word, and Excel)Strong organizational skills; detail-oriented with the ability to manage workflowExcellent oral and written communication and presentation skillsAbility to work well with others, give and take direction, interface with decision-makers professionally, and maintain confidential informationStrong interpersonal skillsProven record of excellent internal and external customer serviceAbility to handle a variety of work with minimal direction and supervisionA strong team player with a service-oriented attitude and proven record of excellent internal and external customer serviceAbility to establish and maintain effective working relationships with coworkers, supervisors, and vendorsHigh school diplomaGED equivalent; bachelor's degree preferred.
